Eden Ritchie is seeking a Database Coordinator who will be responsible for supporting the activities of the Alumni and Development teams and UNISQ through day to day alumni, donor and other constituent data management, maintaining data quality and conducting data cleansing and other activities within The Raiser's Edge Database.

You will be providing accurate and reliable support to the Engagement team with regards to operational activities of particular alumni programs.


Your role is critical to operational aspects of the CRM in areas of: record management, system maintenance for imports and exports, process improvement and maintenance for data reporting, record keeping and data validation, data compilations for faculty/department requests, monitoring, documenting and improving processes.

Each of these processes contribute to the ongoing development and operations of the Alumni Relations and Development teams, with the primary goals being to improve the relationships and engagement with UNISQ's alumni and donors.

As the Database Coordinator, your key responsibilities will include:

  • Responsible to manage and maintain day to day operations of the database, this includes:
  • Implementation of software
  • Upgrades and plugins
  • Improvements to database management
  • Data hygiene
  • Maintaining data integrity
  • And technical aspects, system functionality and ongoing database performance
  • Develop, implement and maintain the Alumni engagement metrics framework, this includes the creation of reports
  • Under the direction of the Director (Alumni) develop the templates and reports, queries, data and segmentation for submission to VCE
  • Develop relationships and support all Engagement team members, UniSQ faculties and departments within UniSQ. In particular, working closely with the Advancement team to maintain all donor information for UniSQ
  • Responsible for all imports and exports into the database, including template development, while ensuring data integrity, data quality and data privacy is protected at all times
  • Provide recommendations for the customisation of the Raiser's Edge database, develop and maintain policies and procedures and develop and deliver training to all database users, utilising best industry practice
  • Ensure and promote compliance with regards to relevant local, national and international privacy legislation and regularly consult with the University Privacy Officer
  • Build, liaise, support and maintain relationships with internal UniSQ ICT and external vendors pertaining to ensure database systems are adequately supported, serviced and secure
  • Provides recommendations in relation to alumni communications content by tracking all outbound analytics
  • Manage the content for the alumni enewsletter and the shared Alumni inbox. Managing the inbox includes responding to the enquiries and directing other correspondence as required
  • Provides support in monitoring and updating UniSQ alumni social media groups, as required, in collaboration with Media and Communications

Essential Criteria

  • Possession of a relevant Degree in Management Information Systems or a related discipline with at least 4 years of subsequent relevant experience, or an equivalent combination of relevant experience in database administration and/or education/ training
  • Comprehensive knowledge and demonstrated proficiency in the use of Raiser's Edge (Blackbaud Inc) or a computerised student/alumni management system or other large database
