***The Junior School Receptionist is responsible for performing a variety of administrative duties, primarily
supporting the Junior School students, families and staff. As the first point of contact for visitors and
enquiries, this busy role is also responsible for all Junior School Reception activities, ensuring a warm,
friendly, professional, and effective manner, and the very highest level of customer service.

**RESPONSIBILITIES AND DUTIES
Ruyton has a responsive organisational culture and, as such this role may be altered to adapt to the evolving
needs of the School.

The Junior School Receptionist responsibilities include but are not limited to:

Administrative Support
Actively participating as a member of the Administration team to ensure students, families and
staff are well supported through the ebb and flow of the School year. This includes the following

tasks**:

  • Recording all student absentees on a daily basis and following up on all unnotified absences
  • Supporting the Head of Junior School as requested including arranging meetings with staff, parents and
  • Coordinating communication between teachers and families
  • Managing Co-Curricular activities and maintaining the Ruyton Co-Curricular Intranet page
  • Assisting in preparations for Parent Teacher interviews and Junior School functions
  • Ordering Junior school stationery as requested by JS staff
  • Responding to requests for First aid and liaising with the Health Centre
  • Assisting with Camp preparation and departure
  • Liaising with the Maintenance department with any requests
  • Ensuring there is sufficient catering supplies in the JS staffroom and assist in the preparation of catering
for JS staff events

  • Corresponding with the City of Boroondara regarding Crossing Supervision and arranging alternative
supervision as required

  • Greeting visitors to Junior School Reception, ensuring they are signed in and either informing relevant
staff of their arrival or directing them to appropriate locations within the School

  • Answering incoming calls and transferring to the appropriate extension or taking a message
  • Monitoring and appropriately responding to messages on the answering machine
  • Responding to general queries from students and families.

New Enrolments

  • Liaising with the Registrar as required
  • Preparing documentation for Enrolment Interviews and arranging tour guides for interviews & open days
  • Preparing new student packs and orientation booklets
  • Assisting in for perspective students to spend a day at Ruyton.
