Position:
Front of House / Receptionist

The duties listed below are required to be completed as part of your role:

  • Provide clinic support services to ensure efficiency and effectiveness within Face by SM and Face + Body by SM clinics

Main Activities Include:

  • Welcome and greet/assist/direct clients, guests, subcontractors, staff, manager, reps, or the general public with a warm, friendly and approachable manner immediately upon entering the clinic or calling over the phone. Share the same positive customer service upon each departure or call ending.
  • Adhere to policy and procedures during all activities.
  • Keeping a clean and calm reception area/clinic overall.
  • Stay uptodate with all knowledge within our business and the beauty industry.
  • Scheduling appointments and keeping those appointments running on time.
  • Reviewing and coordinating the booking system across all clients and staff
  • Assist in maintaining business inventory
  • Ensure that stock levels are adequate and orders are made timeously.
  • Communicate with managers to coordinate/prepare meetings
  • Processing billing and payments
  • Follow up on overdue patient accounts
  • Invoice and receipt patient transactions
  • Faxing, scanning, filling and mailing documentation.
  • Ensure equipment is switched off, windows closed, alarms on and building is secure at end of day
  • Restocking brochures and retail stock and ensure relevant patient information is on display.
  • Prepare and post outgoing mail
  • Action End of Day reports and send to all relevant staff members.
  • Maintain confidentiality at all times of all doctor, nurse, staff, patient and overall clinic information.
  • Follow opening and closing procedures
  • Collect and distribute incoming mail or deliveries. All clinic deliveries to be unpacked same day of receiving it.
  • Notify Manager of any incident or potential incident relating to patients or staff
  • Assisting patients with completing necessary forms and documentation
  • Assist other departments to fulfil company objectives as needed
  • Providing general administrative assistance to practice partners, managers and other team members as required.
  • Attending external and internal meetings, workshops and training as required.
  • Participate in meetings, staff training and development and performance reviews
  • Other duties as assigned

Job Types:
