A bold and innovative Global Meetings and Events (GME) team is coming together within the Global Business Services (GBS) organization. This team will spearhead the implementation of a global Strategic Meetings Management Program (SMMP) across Commercial, Enabling Units and Science Units.

What you'll be doing

The GME Meeting Manager, reporting to the GME Regional Director, will lead top-notch meeting and events planning services that are efficient and bring value to AstraZeneca. They will have full accountability for both internal and external meeting execution (face-to-face, virtual, and hybrid), collaborating with business owners, sourcing, and logistics partners to ensure success. This entails vendor assessment and negotiation, overseeing website development, attendee management, compliance, final program billing, and reconciliation. Some travel may be necessary to assist with on-site logistics for larger, more complex meetings.

Main Duties and Responsibilities

  • End-to-end responsibility for planning and executing internal and external meetings (face-to-face/virtual/hybrid) in collaboration with the business meeting owner and external partners, covering all aspects of a meeting such as site recommendations, production supplier recommendations, contract negotiations, budgets, catering, creation and ownership of project plan, attendee management, travel arrangements, event agenda, and on-site support
  • Understand the business priorities and AstraZeneca culture, including regulations, policies, and reporting requirements
  • Provide robust project management with the ability to communicate effectively across all organizational levels, internally and externally, working across time zones
  • Source and recommend virtual meeting formats to achieve desired outcomes, suggesting new technologies where appropriate
  • Identify innovative solutions to create cost-saving opportunities while adapting to evolving business needs, policies, and regulations
  • Act as an engaged member of the broader GME team to offer benchmarking, best practices, and knowledge sharing
  • Effectively manage external vendors and internal stakeholders while fostering collaborative relationships
  • Travel to and support off-site event delivery and execution as necessary (up to 30%)

Essential requirements for the position

  • Experience in large meeting and events planning (100+ attendees)
  • Demonstrated financial/budget proficiency
  • Possess a compliance mindset with a strong focus on adhering to industry guidelines, company policies, and financial transparency
  • Demonstrated ability to act independently and creatively solve problems
  • Strong communication, negotiation, and influencing skills with the ability to drive desired outcomes
  • Proficiency in MS Office tools (Word, PowerPoint, Excel)
  • Ability to travel by airplane, boat, rail, and/or car when necessary
  • Fluency in English and Japanese (Mandarin and other languages are a plus)

Desirable skills for the role

  • College Degree
  • Experience in pharmaceutical meeting planning
  • Background in Procurement / Commercial Excellence / Marketing within the pharmaceutical industry
  • Certifications in Meeting Planning or Meeting Management
  • 3+ years of experience in Meeting management and/or Travel industry
  • 3+ years of Project Management experience
