About the role

Glen Eira Leisure (GEL) is seeking an innovative and detail-oriented Innovation and Administration Coordinator to join our team in a temporary position. As the Innovation and Administration Coordinator, you will be instrumental in enhancing the operational efficiency of GEL.

Your expertise in coordinating software systems will be essential in achieving sound financial management, strong procurement processes, payroll and excellent customer service. You will ensure data integrity across all systems, contributing to the overall success of GEL.


Key Responsibilities

Team Coordination : Efficiently and effectively lead and mentor a small team. Financial Management : Ensuring robust financial management through the effective use of software systems. Maintaining data integrity to support accurate financial reporting and informed decision-making. Procurement Processes : Overseeing strong procurement processes using Council's purchase ordering software and in line with policy and procedures. Data Integrity : Maintaining high standards of data integrity across all systems, ensuring that information is accurate, secure, and up-to-date. Direct Debit of Memberships : Managing and optimising the direct debit processes for memberships, ensuring accuracy and reliability in billing. Timely Delivery and Payment : Overseeing the timely delivery of goods and prompt payment of invoices. Contract management: Overseeing GEL tenants (e.g. physio and café) contractual requirements and ensure ongoing compliance with provider obligations and standards. Payroll: Overseeing payroll for all GEL staff in line with legislation and Glen Eira Leisure Enterprise Agreement. Systems Development and Implementation : Coordinating the development and implementation of systems for point of sale, Council's purchase ordering, and associated IT software. Ensure these systems are efficient, reliable, and aligned with GEL's strategic goals.

Qualifications and Experience

Demonstrated commitment and adherence to organisational values and behaviours. Tertiary qualifications in Business, Finance, Procurement or related field OR less formal qualifications with substantial relevant experience. Demonstrated experience in an administration and procurement focused role. Strong Leadership skills and the ability to motivate and develop team members. A thorough understanding of administrative processes within a leisure environment and the ability to improve these processes. Experience with the development and monitoring of budget processes. Understanding of policies and procedures and ability to implement quality control measures.
