About the Role:

Boutique is currently representing a high-net-worth individual (HNWI) who sits on several boards and committees. We are seeking a dedicated Executive Assistant to provide comprehensive support to the Chairman.

This role involves managing both business and personal tasks, including diary management, travel arrangements, and administrative duties, all while maintaining a high level of professionalism and discretion.

What you'll do:

  • Communication: Communicate confidently and efficiently, both verbally and in writing.
  • Organization: Exhibit exemplary organizational skills to manage multiple calendars, inboxes, meetings, and travel schedules.
  • Email Management: Monitor and prioritize the Chairman's emails and workload.
  • Confidentiality: Handle confidential communication with utmost discretion and trust.
  • Autonomy: Work independently to ensure tasks and correspondence are completed on time.
  • Collaboration: Work closely with executive assistants and company secretaries to organize board and monthly meetings.
  • Administration: Manage the compilation and filing of confidential documents, including agreements, share certificates, investment reports, and tax documents.
  • Filing Systems: Organize and maintain online filing systems (e.g., Dropbox, Evernote).
  • Travel Planning: Assist in planning leisure and business travel, liaise with travel agents and airlines, and manage travel loyalty programs.
  • Invoice Management: Monitor incoming invoices, work with the accountant to ensure timely payments, and prepare invoices for director fees and expenses.
  • Expense Reporting: Prepare monthly expenses for company credit cards.
  • Dictation: Take dictation for correspondence on the Chairman's behalf.

The expertise and experience you'll have:

  • Experience: Minimum of 5 years as an Executive Assistant at the Chairman level.
  • Integrity: High level of integrity, professionalism, and discretion.
  • Communication: Excellent communication skills, respectful and adaptable in varying environments.
  • Understanding: Awareness of the unique time demands of a Chairman and ability to assist in maintaining balance.
  • Technical Skills: Intermediate technical proficiency.
  • Flexibility: Ability to work outside agreed hours if required.
  • Remote Work: Comfortable and efficient working remotely.
