    About the Role

    Our client exists to deliver trusted and independent systems, processes, oversight and engagement that support democracy in New South Wales. They are currently seeking a Facilities Coordinator to come in and join their team in Homebush on a contract basis until the end of October 2024.

    Candidates for this position must have facilities coordination or management experience, along with technical and trades exposure. Some customer service experience and IT knowledge is considered highly desirable.

    As the Facilities Coordinator, you will act as the central point of contact and liaison officer, supporting Operations activities at the premises appointed for their centralised counting centre operations required for major events, ensuring sites are safe, accessible, operational and fit-for-purpose.

    This will include, facilities maintenance (preventative and other) triage and resolution of issues, management of contractors, registers, liaison with Site Managers, Venue Lead, the hire venue management team and to embed better practice by contributing to intellectual property and improved compliance outcomes and driving value for money.

    Key responsibilities include:

    • Monitor preventative maintenance services of client infrastructure within the facilities in line with Hire Agreement requirements.
    • Liaising with Site Managers to ensure facilities/premises are functional and any issues are resolved promptly as possible.
    • Triage all incidents and issues arising as they relate to on premise facilities ensuring the right parties are engaged and issues are resolved timely and effectively
    • Monitor, maintain and report additional onsite operational expenses, service requests and/or change of scope requirements to support the Venue Lead and relevant Project Managers on budget monetary management.
    • Consult the Venue Lead on all Licence Agreement queries; inclusions/exclusions, Terms & Conditions, change of scope & budget impacts, and any potential alterations to the agreement including Addendums.
    • Maintain an incident log recording details of the issues, the resolution, those involved, the cost, approvals etc. which will help inform future elections with regards to facilities
    • Contribute to intellectual property such as the Facilities Management Plan, Services Register and scenario planning documentation

      About You

      You will be an experienced Facilities Coordinator/Manager with proven experience and reliability in previous positions.

      The successful candidate will possess:

      • Demonstrated experience in facilities management, building and fire safety, WHS, compliance or related field.
      • Knowledge of ISO 55000 or electrical trade background will be highly considered.
      • Experience working in a project or event management environment.
      • Experience collaborating with a diverse range of stakeholders and subject matter experts to develop and deliver a range of services.
      • Organisational ability including managing priorities within tight deadlines.
      • Experience in the use and management of business information systems and MS Office.
      • Previous client services experience in providing a first level response to public enquiries.
