We are seeking a highly organized and experienced Administration Officer to join our clients team in Wangaratta. This position primarily involves managing export documents and providing general administrative support to ensure smooth operations within the company.

Responsibilities:

  • Prepare and manage export documents, including but not limited to commercial invoices, packing lists, certificates of origin, and customs declarations.
  • Collaborate with internal departments and external stakeholders to ensure timely and accurate completion of export-related paperwork.
  • Maintain and update export records, ensuring compliance with international trade regulations.
  • Provide general administrative support such as data entry, filing, scheduling appointments, and managing correspondence.
  • Assist with inventory management and order processing.
  • Liaise with shipping companies, freight forwarders, and customs brokers to coordinate shipments and resolve any related issues.
  • Assist in coordinating logistics, including arranging transportation and tracking shipments.
  • Maintain a high level of confidentiality and professionalism when handling sensitive information.

Requirements:

  • Proven experience in administration roles, preferably in a similar export-focused position.
  • Strong knowledge of export documentation processes, including familiarity with commercial invoices, packing lists, certificates of origin, and customs requirements.
  • Proficient in using computer applications such as MS Office (Word, Excel, Outlook) and data entry software.
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in handling documents and data.
  • Effective communication skills, both written and verbal, with the ability to collaborate and coordinate with internal and external stakeholders.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Familiarity with inventory management systems and order processing is an advantage.
  • Knowledge of international trade regulations and customs procedures will be highly regarded.
