The Company:
Our client is a worldwide well-known and highly respected brand in the electronics industry. This position sits in the Workplace Solutions team supporting the Sydney Olympic Park Office. The primary function of this role is to execute the daily administrative functions and operations of the mailroom and reception area as well as provide additional support to other members of the team.

Duties and Responsibilities:

Mailroom Management:

  • The mailroom is typically operational between 8.30am and 3.00pm and you will be responsible for receiving all mail and courier deliveries and distribute to staff as required.
  • Package and process shipping via DHL to all destinations including our warehouse.
  • Registering all incoming shipments on the day on SEAU Portal/Mailroom management
  • Notifying staff in a timely manner of mail delivered to be collected.
  • Purchasing and upkeep of free issue/consumables; ensure all office free issue/consumables are maintained to appropriate levels eg: satchels, tracking labels, thermal labels, envelopes, boxes, packing material, stationery, and equipment.

Reception support:

  • The reception desk is overseen by in-house security team; however, you will be required to provide support and greet visitors to the office and inform team members their visitors have arrived.
  • Assisting Security during their handover period, this includes intercom management for all doors in the office building.
  • From time to time, you may be required re-direct all phone repair enquiries to the Customer Service centre (located in lower ground of building)

Workplace Solutions Tasks:

  • Manage Security Card access for visitors and staff; liaise with management regarding any security issues as well as run weekly reporting on security access cards.
  • Manage the buildings meeting room calendar to ensure cleanliness and preparation of the meeting and training rooms for staff requirements for external level 1 meeting rooms and the Showroom.
  • Liaise and assist with staff for any catering orders. Attending to catering orders when they are delivered and notify staff.
  • Assist other colleagues of the Workplace Solutions team in general facilities tasks around the office.
  • Any adhoc requirements.

About YOU:

  • Completion of high school with 1-2 years of relevant experience, preferably in a fast-paced environment
  • Experience in reception and administrative duties
  • High attention to detail
  • Basic level ability in Microsoft Office suite of products
  • Strong verbal skills
  • Warm personality with great energy and approachable, able to relate to different personalities.
  • A collaborative team places.
  • Autonomous, self-motivated, and resourceful
