What this opportunity involves:

We are seeking a proactive and team-oriented individual to join our on-site client team as a Mailroom/Facilities Assistant. In this role, you will be responsible for providing comprehensive operational support to our client, Oracle Global Services Australia in North Ryde. You will play a vital role in ensuring the smooth functioning of facilities management, mailroom operations, reception duties, customer service, and asset management.

An Overview of the role:

  • Manage inbound and outbound mail, packages, and other items efficiently.
  • Coordinate with courier services to ensure timely and effective delivery.
  • Assist Oracle staff with mail and courier services inquiries.
  • Maintain cleanliness and organization of the mailroom and storage areas.
  • Collaborate with Facilities Manager to develop and review service delivery schedules and resource requirements.
  • Ensure compliance with contractor management procedures.
  • Provide reception coverage when required.
  • Work with the Facilities team to maintain a safe and secure work environment.
  • Deliver superior customer service and address customer feedback effectively.
  • Administer the Service Requests Workflow using Oracle Service Cloud (OSvC).
  • Monitor and complete service requests within the designated timeframes.
  • Maintain accurate records of e-waste disposals and close service requests within SLA timeframes.
  • Manage breakout area services, including ordering and stocking kitchenette supplies.
  • Facilitate procurement administration tasks as needed, including raising purchase orders and tracking invoices.

  • Previous experience in a similar facilities or administrative role is desirable.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in using Microsoft Office Suite.
  • Ability to prioritize tasks and work independently.
  • Attention to detail and a proactive approach to problem-solving.
  • Knowledge of basic procurement and accounting processes is a plus.
  • Excellent team player but also capable of working independently.
