About the role: 

An opportunity to join the Corporate Services business unit as a Fleet Administration Specialist. You will report to the Group Manager Fleet & Real Estate. 

You will ensure optimal management of vehicles, plant and equipment maintenance and servicing programs.

As an overall, this role will support the Business Units and Fleet Team by completion of various administrative tasks related to but not limited to SAP and other electronic systems, maintenance, purchasing, disposal and servicing of vehicles and equipment to achieve an optimised heavy and light fleet operating model.

This is a 12-month parental leave cover position.

What you’ll deliver:

•    Coordinate vehicles, plant and equipment to be maintained and serviced in accordance with approved maintenance schedules and meet HSE requirements.
•    Assist in the coordination of field / depot audits on vehicles, plant, equipment and related services to ensure compliance with business and legislative HSE requirements.
•    Prepare and assist with monthly reports on entire fleet performance and operating costs.
•    Prepare fleet utilisation reports on a monthly basis, documenting all recommendations for fleet utilisation improvements.
•    Create purchase orders and request asset information in SAP.
•    Manage relationships with external providers and internal customers to ensure all fleet assets are maintained and serviced on time, vehicles are onboarded, SAP orders are created in a timely manner.
•    Work closely with Fleet Management outsource provider ORIX on identifying and implementing process improvement opportunities.
•    Conduct invoice sampling on a quarterly basis to ensure compliance with contracted rates and identify any potential duplicate charges.

To succeed in the role, you’ll have: 

•    Analytical skills and data management experience.  
•    SAP knowledge (preferred).
•    Proficiency in the MS Office suite. 
•    Strong analytical and data management experience.   
•    Previous experience with providing systems support services (desirable).
•    Previous experience in an operational fleet role (desirable).
•    Degree in Business, Law or Engineering (preferred).
