Position Summary :

In this role you will be be leading the administration support function for the organisation You will also oversee email correspondence and assist in filing and documenting data. This role provides face to face interactions, greeting clients and visitors and directs them to the conference room or staff member's office. You will take additional administration duties, answering inquiries for the general public, scheduling appointments, receiving, or sending out messenger/courier items. You will report to management as to the teams performance.

Job Responsibility :

Strategic Work

  • Creating a welcoming environment: Ensure customers feel welcomed and valued by providing a warm and friendly greeting
  • Managing customer inquiries: Respond promptly and professionally to customer inquiries, ensuring their needs are met in a timely and satisfactory manner
  • Building customer relationships: Establish positive relationships with customers to encourage repeat business, positive word-of-mouth referrals and positive feedback
  • Continuous improvement: Continuously seek to improve the customer experience by identifying and implementing process improvements and customer service best practices
  • Improving operational efficiency: Identifying areas where office processes and procedures can be improved to increase efficiency and reduce costs
  • Ensuring confidentiality: Maintaining strict confidentiality with sensitive business information, developing, and implementing procedures to protect confidential information and ensuring that all employees understand the importance of confidentiality

Tactical Work

  • Answer and direct calls in a professional, friendly manner and take complete and accurate information and details
  • Greet all incoming clients with a warm and friendly manner and assist them in their enquiry
  • Perform data entry of new prospective clients and update existing ones
  • Always maintain a clean and tidy work area
  • Handle payments via cash, cheque and EFTPOS and lodge the payments accurately
  • Assist in stock control of consumables and advise when re-order is required
  • Provide assistance to Sales Reps when needed by providing product information, assisting with customer inquiries, and coordinating customer visits to the branch
  • Liaise with staff, suppliers, and clients by building and maintaining positive relationships to ensure effective communication and collaboration
