The Opportunity:

As a result of exciting, continued growth, we are seeking a proactive Project Support Officer with strong customer relationship and planning skills to join our dynamic team based in Mackay on a Full-Time Permanent basis.

Key responsibilities include:

  • Providing general project administrative support as required.
  • Preparation and issue of external correspondence relating to contracts and variations including uploading documents to the customer's document management system.
  • Prepare and issue appropriately authorised external correspondence related to projects, contracts, variations, new customers, or vendors.
  • Document Control tasks.  
  • Create, monitor, invoice, and close jobs / projects.
  • Process variations, milestones, and progress billing.
  • Assisting with reporting - preparing and collating internal and external reports for management and customer review such as but not limited to EOM Reports and Job Progress Reports (JPR).
  • Coordinate tender submissions until award, then set up project / job in ERP system. 
  • Assist project managers with cost, ordering materials, re-allocate hours, receipting invoices and provide support as required. 
  • Set up meetings, take minutes as required and file in the relevant directory as required.
  • Arrange travel, accommodation and inductions where required
  • Management of Skills Matrix including training bookings and filing of employee documentation.
  • Rapid Induction bookings for contractors
  • Save paperwork and reconcile Credit Cards as required.
  • Process Timesheets as required.
  • Monitor and review business processes to ensure adherence, alignment, and effectiveness. Where required, investigate issues and implement solutions.
  • PPSR Management for QLD Engineering and Workshop Projects including Hire contracts.

What We're Looking For:

Your natural ability to manage multiple deadlines and competing priorities will be complemented by your experience in the following:

  • Well-developed customer service and business communication skills.
  • Excellent administrative skills with a focus on quality and accuracy.
  • Advanced capability in Microsoft Office applications, including MS Project.
  • Expertise in business database usage or with an ERP/MRP - purchasing, expediting, production, cost control and reporting.
  • Ability to interpret contract documentation.
  • Strong attention to detail
  • Process driven individuals who are team-orientated with high organisational skills.
  • Cert IV in Business administration or equivalent / higher quals (Essential)
  • Project Management qualifications and Legal qualifications (Desirable)
  • Exposure to Dynamics or Syteline (Desirable)
