The organisation:
The Uniting Church in Australia (the Church) is a large uniquely Australian Christian denomination in Australia with heritage from historical reformed evangelical denominations. In Queensland, the Uniting Church has around 250 congregations and has schools, colleges and large community services (such as UnitingCare Queensland and Wesley Mission Queensland).

Position purpose:
The purpose of this role is to provide high quality, professional administrative support, of a complex nature, on all In-Home Care (IHC) matters.

Key responsibilities:

- Liaison and correspondence with internal and external stakeholders including telephone and visitor enquiries, clients, educators and Government departments and other relevant stakeholders, providing high quality customer service at all times.
- Processing of attendance records and provision of attendance records support for educators and parents/guardians.
- Collect accurate data required for appropriate Government agencies and organisations, completing administration of the Commonwealth Government Child Care Subsidy and other applicable payments, including Inclusion Support funding.
- Maintenance and reporting of financial records regarding operations and Child Care Subsidy.
- General financial duties including accounts payable and receivable, administrative payments, and banking.
- Records management including preparation of reports as required and in accordance with statutory requirements as directed by the IHC Operations Manager.
- General administrative duties including word and data processing, document management, filing, ordering stationery and maintaining meeting records.
- Participate in staff meetings and quality assurances procedures.
- Provide instruction and support to educators, including providing support on administrative matters at educator recruitment and training sessions.
- Cooperate with all health and safety policies and procedures and take all reasonable care to ensure actions do not impact on the health and safety of employees, children and visitors.
- Exemplify personal drive and integrity - take personal responsibility for meeting objectives, showing initiative and committing energy to see goals are achieved.
- Model the values of the Uniting Church in Australia, Queensland Synod in day to day work including in interactions with managers, lay staff, ministry agents, clients and stakeholders.
- Identify and develop strategies to provide internal and external client focused customer service including identifying improvements to policy, process and the work environment.
- Work within the Code of Conduct and other policies and procedures of the Uniting Church in Australia, Queensland Synod and the provisions of the Workplace Health and Safety and other relevant legislation, including reporting hazards/incidents, support for injured workers and full participation in return to work plans.
- Undertake other duties as and when directed within the scope of the role and the capabilities of the incumbent.

Qualifications:

- Qualification in business administration or related course (Desirable).

Experience and skills:

- Previous experience in a similar role within an early childhood education or family day care setting.
- Demonstrated high level of organisational and time management skills, whilst also providing a strong customer service focus.
- Demonstrated ability to respond appropriately in difficult situations with parents/guardians and parents/guardians.
- Ability to multitask, set priorities, work with limited supervision and part of a team.
- Demonstrated knowledge and understanding of current National Education and Care Law & Regulations, National Quality Framework and the National In Home Guidelines 2018.
- Ability and willingness to work within the Philosophy, Policies and Procedures of The Uniting Church in Australia.
- Service: personable with a commitment to building strong relationships with home-based educators, coordinators, children, families, key stakeholders/customers across the Church and its agencies, boards and committees of the Synod.
- Responsibility: intermediate computer skills, including Microsoft Office suite, Internet and previous experience with childcare software (i.e. Harmony, Kronos), is desirable, along with demonstrated attention to detail, timeliness, analytical and focused on outcomes.
- Respect: demonstrated ability to clearly, effectively and confidentially communicate orally and in writing with colleagues, coordination staff, children, families and clients, whilst managing competing views.
- Integrity: models professional and ethical behaviour, demonstrates an attitude of acceptance and respect for all children and their families, with an ability to act with impartiality, honesty, operate flexibly and use effective teamwork skills.
