**Role**:
**SUB SCHOOL ASSISTANT**
- Administer late passes, early leavers passes, uniform passes
- Log detentions and suspensions as required
- Assist students in finding classes, or accessing lockers for snacks, lunch or sanitary items as an example
- Enter attendance data on a daily basis and follow up with classes within your learning community
- Prepare and maintain attendance reports through Compass, summarising absences
- Monitor patterns of attendance and advise Team Leaders and sub-school leaders
- Maintain records/logs of contact made and frequency including Compass chronicles
- Obtain itineraries for students who are going overseas during a school term as per DET requirement, and enter this information in CASES21 and Compass Chronicle as ¿family holiday¿
- Ensure attendance records are up to date prior to February and August Census processes
- Support the sub school leaders with photocopying, assistance and administrative support, including but not limited to, production of display posters, conduct cards, removal cards, setting up of assembly spaces, organising meeting spaces, etc.
- Distribute information to students and staff as appropriate
- Assist in communications to families
- Manage/maintain lost property within the sub-school
- Assist with the induction of new students, such as locker assignment and printing timetables.
- Monitor Data analytics for trends and patterns to assist in identifying students of concern
- Any other task required by the Principal, Business Manager or Sub-school Leader

**NEW STUDENT ENROLMENTS**
- Assist with induction of new students
- Assist with meet and greet on first day for new students

**GENERAL ADMINISTRATION**
- Assist office if required with family enquiries and sub-school phone calls
- Filing as required
- Provide high level and confidential administrative support to all Sub School Coordinators, Principal class and Business Manager
- Attend administration team meetings as required

**Responsibilities**:

- Provide routine clerical or other administrative support responsibilities including general telephone, front office enquiries, mail deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork
- Maintain, enter and retrieve data from the schools IT systems, such as the school's records system, including computerised student, staff and school records
- Maintain and update office records, enrolment data, diary records, and basic written records
- Support or coordinate the preparation of standard routine internal and external communication according to school procedures (e.g. form letters, newsletters)
- Source basic data or factual information from given sources to support school administrative functions, e.g. books, reports, manuals, catalogues, tables, forms, etc.
- Coordinate the delivery of administrative services within the school
- In consultation with the principal, or delegates to determine and manage work priorities within the sub school office
- Develop and implement strategies to ensure effective administration procedures
- Coordinate the implementation of requisitioning, purchasing and issuing procedures
- Liaise with school staff in regard to support requirements
