About the OPPORTUNITY
We currently have a rewarding opportunity to join us as a Commercial Support Officer within our Aircraft, Training and Sustainment line of business with our team based at Williamtown NSW. You will be supporting our Commercial Function and working on projects that support the sustainment and capability enhancement activities to the Australian Air Force. This role will be based out of our Williamtown NSW office. We embrace flexible work arrangements at BAE Systems Australia, such as working a 9-day fortnight and hybrid working.

**Key responsibilities will include**:

- Provide administration support to the Commercial team as required
- Assist with setting up and attending regular meetings including taking clear and concise minutes that will need to be distributed in a timely manner
- Assist in preparing bid proposal and contract documentation in line with the Life Cycle Management and the Request for Bid Approval process
- Administer contracts in accordance with company procedures which will encompass liaison with customers on contractual matters and resolution of commercial issues, including:

- Review customer communications and preparation of correspondence
- Prepare and maintain contract documentation, records and internal reports
- Prepare contract amendments and contract change proposals
- Ensure that all order intakes are registered, invoices raised and payments received
- Manage and track the implementation of procedures and controls within the specified area to ensure compliance with commercial policies
- Manage and resolve customer queries and issues in areas of responsibility, escalating significant problems as appropriate
- Support the Project Senior Commercial Officers with the administration of Import/Export requirements including but not necessarily limited to International Traffic in Arms Regulations (ITAR), Australian Customs and Defence Export Control Office (DECO) requirements for Projects Adopt clear understandings with suppliers of both technical and commercial issues to ensure that business arrangements minimise risk
- Support procurement and supply chain colleagues in the preparation of sub-contract terms and conditions as required
- Work with internal and external legal advisors to ensure all contracts have the necessary legal input/governance, as required

About YOU

**You'll have**:

- Demonstrated administration experience
- Excellent attention to details with organization skills, together with a high degree of motivation, initiative and enthusiasm with a willingness to learn
- Analytical and numeracy skills and a demonstrated ability to identify "exception" detail in documents and numerical reports, and provide proposed corrections
- Well-developed self-management skills and demonstrated ability to work under your own initiative to deliver outputs to time, quality and cost
- A curious mind-set and ability to integrate and extract information
- Team orientation with a high level of written and oral communication skills including the ability to communicate with the Customer and staff at all levels and from a range of disciplines
- Computer literacy with advanced knowledge of MS Suite along with SharePoint & Oracle (desirable)
