**Overview**

The Data & Securities Management Administrator is responsible for maintaining security-holder registers and processing transactions, in accordance with statutory and service agreement standards, including: Validating and Processing transactions including Static changes, Transfers, Corporate Actions, Proxies, Fixed Interest, Warrants and Issuer Services work streams.

Understanding client and internal business processing rules;

Researching and responding to investor enquiries;

Accurate, efficient and timely processing of all transactions and off-market transfers in accordance with ASX Listing Rules. Investigating processing enquiries from internal stakeholders; and

Meeting or exceeding all key performance indicators (KPI's) set for this role.

The role may also involve assisting with a variety of management and client reporting. An SMG/DM Administrator may be rotated between roles, teams and/or projects

**Key Accountabilities and Main Responsibilities**
- Validation and processing of all Data Management and Securities Management transactions to ensure critical dates are met and client specific requirements are adhered to
- Ensure all transactions are processed within the time frames provided by the ASX Listing Rules or as outlined in Client Service Level Agreements (SLA).
- Responding to executor/solicitor and broker enquiries
- Ensuring CHESS electronic transactions are registered in accordance with ASX and SCH Business Rules;
- Prepare correspondence to investors;
- Adhere to Policies and Procedures;
- Attend to customer enquiries in person where required;
- Photocopy, filing and faxing shareholder information;
- Assist with the processing of Proxy transactions
- Attend client AGMs and EGMs and register all visitors and shareholders
- Maintain records of all work performed
- Assist others to complete tasks and attend to all tasks assigned by management from time to time.
- Effectively coordinate and/or resolve any escalated issues and/or shareholder/ issuer feedback or complaints
- Support Operational Services Management with process improvement initiatives
- Completion of Daily reporting, i.e.: productivity reports, workflow reports, enlighten stats
- Assist in the development and training of Administration staff in accordance with Management objectives and core values of Link at all times,
- Support the Team Leaders in ensuring that Quality & Assurance targets are achieved.
- Demonstrate ability to effectively prioritise work
- Demonstrate high level of initiative and motivation
- Flexible, able to meet deadlines and work additional hours when required
- Problem solving skills
- Assist in the management of key internal and external relationships
- Facilitate/participate in various team, project and management meetings as required.
- Any other duties as requested/directed by the Manager

- Contribute to the training of fellow team members when appropriate; and
- Develop usage and knowledge on all internal systems
- Meeting or exceeding all productivity and quality KPI's set for the role;
