The McDowall State School P&C Association is established to enhance the educational outcomes of all primary school-aged children enrolled at McDowall State School. The P&C Association employs approximately 50 paid employees and leverages off the dedicated volunteers working together to achieve its aim. The role will be based in the Outside School Hours Care (OSHC) service on the McDowall State School campus on the Northside of Brisbane. This position has been created to enable P&C Association office bearers and senior employees to fulfil the full scope of their roles by delegating all administrative tasks to a more appropriate role in the organisation.

This is a casual administration officer role for **18 hours per week until the 10th of July, then 12 hours per week thereafter due to a job share arrangement and maternity leave contract.** **We are currently looking for someone available Wednesday, Thursday, and Friday, and then on Thursdays and Fridays starting in July. All shifts run from 10:30am to 5:00pm.**

This role also offers an opportunity for someone to positively contribute to a fantastic school community and the educational outcomes of all children. While not necessary for the role, we would also consider applicants who are interested in working in the educator role on non-administration days.

**About the role**

This role is accountable to the P&C Association Executive in the overall administration of the P&C Association in accordance with all relevant guidelines, policies and procedures. It is also accountable to the P&C Association Operations Manager and OSHC Coordinator to undertake all administrative tasks for the OSHC service.

**Duties and Responsibilities**
- attend to client bookings, cancellations, and amendments ensuring all are dealt within the necessary time frames
- assist in the administration of the P&C's business activities, working parties, including but not limited to the Outside School Hours Care (OSHC), and fundraising activities
- collect, handle and distribute all internal and external mail and correspondence, whether physically or electronically
- respond to correspondence and communications as directed
- assist in the preparation of regularly scheduled reports
- pursue supply order quotes and directing quotes received to the appropriate person
- receive or issue standard forms
- develop and maintain adequate filing systems, both physically and electronically, or otherwise dealing with records, writings, correspondence, books
- monitor stock levels, ordering office supplies as required, and the correct storing of purchases, goods or supplies
- provide general support to visitors, clients and suppliers while greeting in a professional and friendly manner
- photocopy, sort or compile documents, flyers, posters and other written materials and distribute and display marketing or other material as directed
- adhere to all legislation, regulations, standards and directions at all times
- assist with all CCMS requirements as and when needed
- any additional duties as required by the P&C Association, P&C Association Operations Manager and OSHC Coordinator

**Skills and experience**
- Proven administration experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication and customer service skills
- Strong organisational and planning skills
- Proficiency in Microsoft Office
- Working knowledge of using Xplor will be highly regarded but not essential
- Working knowledge of any Child Care Management System will be highly regarded but not essential
