OverviewSupporting our Chief Executive, this is a high-impact, high-visibility role at the heart of our organisation, ideal for someone who thrives in a fast-paced environment, demonstrates impeccable judgement, and is committed to excellence in service delivery.You will demonstrate a high level of professionalism and critical thinking in anticipating the Chief Executives' (CE) needs, passing on critical information in a timely manner.
In addition to supporting the CE, this position is also responsible for calendar management for the Chief Strategy and Governance Officer (CSGO), and providing administrative support to the Trust, including preparation of Trust & Sub Committee meetings and documentation.
Occasional out-of-hours contact may be required to support the Chief Executive and Trust, and this role has a high contact requirement on site.Experience working with boards in an administrative or secretariat capacity is a must for this role.Key responsibilitiesCalendar & Correspondence Management: Prioritise and manage the CE's and CSGO's schedule, triage communications, and ensure timely responses.Board & Committee Support: Prepare agendas, papers, and minutes for Trust and sub-committee meetings; liaise with the Minister's office for board appointments.Leadership Team Coordination: Support planning, workshops, and meetings including document management and action tracking.General Administration: Manage travel, expenses, document preparation, and reporting.Records & Systems: Maintain high-quality records and manage platforms like Diligent Boards and Microsoft Teams.About youYou're a trusted professional with a proven track record supporting senior executives.You bring discretion, diplomacy, and a proactive mindset to everything you do.You have expertise in board meeting preparation and executive-level minute taking.You possess exceptional time management, communication, and organisational skills.You are proficient in Microsoft Office, Teams, PowerPoint, and Adobe Acrobat.With a proactive, autonomous work style with a keen eye for detail you anticipate your executive's needs.Experience with Diligent Boards is desirable, but not essential.Ready to ApplyIf you're ready to take on a pivotal role supporting executive leadership and contributing to the success of our Trust, we'd love to hear from you.Note: candidates may be contacted earlier than the date above.Our CultureJoin a team that values collaboration, creativity, and cultural respect, and help us create something truly special.
