**Position Title**:
Practice Manager

**(Paediatric Outpatient Specialist Clinic +/- Allied Health services)**

**Prerequisites**:

- An experienced medical administrative officer who is able / willing to step up to the role of the Practice Manager to assist in the establishment of a brand new private Paediatric Service, ongoing practice management as well as receptionist duties (hours as agreed upon mutually, but not bound to, between employer and employee)
- A current Working with Children / Blue Card
- A current criminal record screening
- Basic Life Support training (within the past three years)
- Work rights in Australia or be eligible for such

**Job Description and Scope**:
**Practice Manager Role**:
**Financial**
- Assist the practice owners in developing payment and debt collection policies.
- Assist the practice owners in developing a highly effective billing and payment system.
- Ensure high level of understanding Medicare items and online claiming, insurance, NDIS and other relevant rebates facilities.
- Banking and reconciling activities.
- Coordinate payroll services including superannuation payments, Australian Taxation Office employer responsibilities and maintain records of leave entitlements.
- Bookkeeping of billing and invoicing of contractors.
- Maintain accurate financial records and provide regular reports to the practice owners.
- Assist in preparation of Business Activity Statement, End of Financial Year Tax Return, and Accounting Audits as required.
- Coordinate accounts receivable and payable and maintain debt prevention activities.
- Maintain up to date subscriptions of software or services.
- Assist in marketing activities for the practice and ensuring the growth of the practice's finance and reputation over time.

**Operational**
- Develop and maintain a suite of practice policies and procedures.
- Lead, oversee and assist front desk reception duties.
- Establish and ensure a smooth workflow of the practice including task delegation and supervision of staff.
- Develop and maintain a business continuity and disaster recovery plan.
- Develop and maintain an asset register and stock inventory.
- Place orders for stationery / clinical supplies; monitor stationery / clinical supply levels; and place orders, as required, maintaining a working supply at all times.
- Develop and maintain an opening and closing checklist.
- Ensure consumables and equipment are kept stocked and maintained to the manufacturers standards and conditions.
- Manage the phone system (eg call forwarding, voice prompt set up etc), and manage practice information on search engine (eg. Google business hours) at a timely manner.
- Undertake training and achieve high level usage of the practice management software employed by the practice; and provide training and support as required to other staff / clinician as required (including building of user profile, appointment books, fee schedule, letter templates, Marcos etc)
- Equip with knowledge in basic troubleshooting of medical / IT equipment and payment facilities; and access appropriate help as required for equipment malfunctioning or failure.
- Ensure the practice building, rooms, car park are clean, tidy, safe and accessible.

**Personnel**
- Coordinate staff employment including recruitment and training and regular staff appraisal.
- Manage rosters including emergency or planned leave cover.
- Assist in recruitment of new clinicians and manage onboarding of new clinical staff.
- Arrange room usage or allocation and schedule hours for clinicians.
- Encourage governance and social responsibility.
- Encourage employee motivation, professional development and satisfaction.
- Ensure safety and quality standards are met
- Coordination and implementation of safety training, eg. fire and disaster drills, catastrophic event response.
- Ensure staff are up to date with first aids and basic life supports training.
- Lead the practice in risk management and quality improvement processes.
- Record incidents and near-misses in line with practice policy. Review and respond to feedback or complaints by patients, contractors or staff.
- Practice duty-of-care including meeting practice standards and accountability.
- Maintain patient and practice confidentiality at all times.
- Ensure the practice building and work spaces are conducive to a safe and practical work environment.
- Ensure clinical governance processes are in place.
