In 2018 NewSpec launched its Inspire STEM Education Service, an Outreach Program created as a joint venture between NewSpec (Australia) and Hitachi High Technologies (Japan) to inspire new generations of future scientists. Schools around Australia book a visit from our Mobile Learning Lab which includes the installation of Hitachi's TM4000 Desktop Scanning Electron Microscope (SEM), use of optical microscopes, a class set of magnifying glasses, access to our sample library, supporting learning resources and materials, teacher training and Inspire staff support as required.

Position Description

The Logistics Dispatch Coordinator at NewSpec is responsible for coordinating the movement of goods and materials through the company's supply chain. They work with couriers, shipping companies and other third-party logistics providers to ensure that shipments arrive on time and in good condition. They will also help in general administration as required. Duties include (but are not limited to):

  • Managing Inbound and Outbound Freight Dispatch

    Oversee the coordination and timely dispatch of all incoming and outgoing freight.
  • Liaising with Freight Forwarders

    Coordinate with freight forwarders to arrange and monitor efficient freight movements.
  • Collaborating with the Order Processing Coordinator

    Work closely with the order processing team to ensure accurate and timely freight arrangements for all orders.
  • Stock Control and Inventory Management

    Maintain accurate stock records and conduct regular stock takes to ensure inventory accuracy.
  • Cross-Department Communication

    Collaborate with service and sales teams to ensure seamless logistics operations and order fulfillment.
  • Freight Invoice Entry and Accounting

    Accurately enter all freight-related invoices into MYOB accounting software for tracking and reconciliation.
  • Freight Cost Optimisation

    Source and negotiate the most competitive freight rates to ensure cost-effective logistics.
  • Issue Resolution and Delay Management

    Quickly identify and resolve any freight-related issues or delays to minimise impact on operations.
  • Freight Tracking and Monitoring

    Use freight tracking systems (FedEx, DHL, TNT, etc.) to monitor both inbound and outbound shipments in real time.
  • Documentation and Compliance

    Ensure the correct documentation is used for all freight movements to meet regulatory and compliance requirements.
Person Specification

The ideal person for this role is someone who has an awesome attitude and is willing to listen and learn.

Candidates must possess unrestricted Australian work rights as this is mandatory for this position.

Knowledge/Experience/Skills

Current Australian driver's license

A minimum of Year 12 education or equivalent is required for this position.

Communication: the successful applicant/job holder will be able to use their written and verbal communication skills to relay messages and information to team members and customers. They will also use these skills to communicate with other logistics professionals, such as couriers, truck drivers and warehouse managers.

Attention to detail: the successful applicant/job holder must be able to pay close attention to detail when recording information and relaying messages. They must be able to relay messages accurately and completely so that the message is understood by the intended recipient. Attention to detail is also important when recording information about shipments, as it ensures that the information is accurate and can be used to locate shipments if necessary.

Problem-solving: the successful applicant/job holder will use problem-solving skills to identify and resolve issues that affect the delivery of goods. For example, if a delivery does not occur as planned they will troubleshoot to find out why, where the process has broken down, arrange for it to be rectified and notify all interested parties such as customers and NewSpec sales people.

Organisation: the successful applicant/job holder will use organisation skills to keep track of multiple shipments, customer information and other logistics data. They use these skills to ensure that the right shipments go to the right places at the right times. Multitasking: the successful applicant/job holder will often be required to multitask, as it is a busy role with many items being shipped to many different customers at the same time. Excellent computer skills in a Microsoft Windows Environment, including a working knowledge of the Microsoft Office suite of products, particularly Word and Excel
