The E-Commerce Administrator provides essential operational and administrative support to the Operations Manager and the Administration Team. This role is central to the coordination and smooth running of the organisation's online sales operations and digital activities, including the online store, product promotion, social media content, customer engagement, and sales reporting.
A primary focus of this position is the day-to-day administration and optimisation of the online store—ensuring product information, images, pricing, postage and inventory remain accurate and up to date. The success of the online store, measured by its sales growth, customer satisfaction, and contribution to revenue targets, will serve as a key performance indicator of the role's effectiveness.
In addition to e-commerce functions, the position is responsible for accurate data entry and maintenance of store records, supporting operational efficiency and compliance across all retail locations.
By delivering high-quality digital engagement and maintaining professional standards of confidentiality, the E-Commerce Administrator plays a vital role in supporting Neighbours Aid's mission, strengthening its brand presence, and driving the growth and long-term sustainability of its Australian operations.
MARKETING AND PROMOTIONS- Under direction of the promotions committee, develop and maintain professional marketing materials for distribution to the stores.
- Design the annual report.
- Create and develop monthly social media plans and produce the assets required for social media distribution.
- Arrange access to social media for approved personnel.
- Assist staff with social media solutions.
- Oversee the organisations website and online presence.
- Assist with promotional activities and volunteer events or experiences when required.
- Liaise with the Project Assistant to assist with fundraising marketing when required.
- Liaise with the Operations Manager to develop online store to its true potential using depop and shopify to the best of its ability. Maintain the integration of software required.
- Strive to reach monthly budgets.
- Liaise with store managers to access items for online store.
- Provide accurate reporting for online store activity when required.
- Recruit and train volunteers for online store.
- Maintain payment software.
- Create online listings using accurate and excellent representation of the products, researching with accuracy and pricing accordingly to the benefit of the both the customer and Neighbours Aid,
- Accurately enter monthly data from online store sales into accounting program in a timely manner.
- Enter each stores data from QDOS software into accounting program and related spreadsheets within required deadlines.
- IT trouble shooting for all staff.
- Provide general office and reception duties, ensuring a professional and welcoming environment.
- Manage filing, archiving, and office correspondence in line with organisational policies.
- Uphold confidentiality and privacy in all matters relating to staff, volunteers, and stakeholders.
- Assist all Head Office staff to prepare campaigns and other events.
- Provide accurate and timely information about Neighbours Aid's activities to staff, volunteers, and customers.
- Support and promote the Neighbours Aid Mission Statement.
- Assist in the advancement of all Neighbours Aid stores where possible.
- Participate in orientations, training, and meetings as required.
- Professionally represent Neighbours Aid at all times.
- Promote and uphold a proactive approach to workplace health and safety.
- Maintain confidentiality and privacy in all matters relating to staff, volunteers, stakeholders, and organisational processes.
- Accurate and timely data entry, reconciliation, and reporting.
- Professional and prompt correspondence with all stakeholders, strengthening relationships and engagement.
- Efficient and reliable administrative and reception support, ensuring smooth office operations.
- Full compliance with confidentiality, WH&S, and organisational policy requirements.
- Active contribution to Neighbours Aid's mission, growth, and sustainability.
- 98%+ accuracy in finance and data entry.
- Demonstrates consistent financial performance by meeting or surpassing online store budget targets in at least 85% of months within the financial year.
- Effective use of available software and use to its full potential.
- Monthly reports delivered on time.
- Positive feedback from staff, volunteers and other stakeholders
- 100% compliance with confidentiality, WH&S, and organisational standards.
- Additional success metrics will be developed in collaboration with the successful applicant
- Strong organisational and time management skills.
- High attention to detail and accuracy in data and financial tasks.
- Effective written and verbal communication skills.
- Ability to manage competing priorities and deadlines.
- Proficiency in office software (Office 365) and accounting software (MYOB)

Cert III/IV in Business/Office Admin or equivalent qualification/experience would be highly regarded.
