Key Responsibilities:

  1. Pre-Listing Coordination:

  2. Coordinate with property managers to gather necessary documentation.

  3. Ensure marketing invoices are sent and paid, and manage the communication of important property details to sellers.

  4. Property Compliance Check:

  5. Confirm the property meets necessary safety standards.

  6. Property Prep Coordination:

  7. Organize property styling, cleaning, and trade services to ensure properties are market-ready.

  8. Create open home folders, checklists, and marketing materials.

  9. Marketing & Material Coordination:

  10. Coordinate with photographers, body corporates, and other relevant parties to ensure marketing materials are accurate and delivered on time.

  11. Social Media & Communication:

  12. Manage "Just Listed" and "Just Sold" messaging to the buyer database and property owners.

  13. Request property updates, social media stories, and reels to promote listings.

  14. Open Home Support:

  15. Assist with open home setup, greeting buyers, and managing enquiries.

  16. Ensure open home materials are fully stocked and properly displayed.

  17. Buyer Enquiry Follow-Up:

  18. Enter buyer enquiries into CRM, schedule appointments, and follow up to confirm viewings and appointments.

  19. Cross-reference buyer details and update listings as needed.

  20. CRM Management & Report Preparation:

  21. Organize and maintain client records, set reminders for follow-ups, and prepare market reports for clients.

  22. Help prepare quarterly Chevron Island market reports and engage with buyers via social media.

  23. Settlement & Post-Sale Coordination:

  24. Manage settlement timelines, liaise with solicitors and conveyancers, and ensure smooth communication throughout the settlement process.

About You:

To be successful in this role, you will need:

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and deadlines.
  • Experience in real estate administration, marketing, or a similar role would be advantageous.
  • Excellent communication skills and a proactive approach to supporting clients and the team.
  • A passion for real estate and helping clients achieve the best results.
