Intake Officer – Be the Welcoming Face of Ability Plus

We're looking for an Intake Officer who will be the welcoming guide for new clients and their families – someone who can walk them through the journey from first contact to becoming a valued client with confidence, clarity, and compassion.

This role is more than administration – it's about relationships. You'll work hand-in-glove with our Community Partnership Manager, Coordinators, Rostering and Finance Teams to ensure every client's start with us is seamless, well-supported, and future-focused.

What You'll Do

  • Be the first point of contact for potential new clients, warmly guiding them and their stakeholders through the intake process.
  • Work closely with the Finance Team to establish accurate service agreements and ensure the right funding codes are used.
  • Manage and track the new participant pipeline, ensuring timely progress into service delivery, including forecasting workforce needs.
  • Support Coordinators in monitoring and optimising participant funding, ensuring every client gets the most from their package.
  • Coordinate with internal teams on holidays, plan reviews, and funding updates, ensuring all stakeholders are kept informed.
  • Maintain compliance by ensuring all documentation, agreements, and records are accurate, up-to-date, and quality assured.
  • Provide reports against key performance indicators (KPIs) and contribute to continuous improvement initiatives.
  • Represent Ability Plus at community and network events, helping to grow our presence and impact.

  • Services commence smoothly, on time, and with the right resources in place.
  • Funding is optimised and accurately managed.
  • You deliver against KPIs and help drive organisational growth.

About You

You are approachable, organised, and detail-oriented – a professional who can balance empathy with efficiency. You enjoy building trust with clients, families, and stakeholders and thrive in a role that connects people, processes, and outcomes.

You'll bring:

  • Experience in Community Services/Disability Sector and a commitment to person-centred care.
  • Knowledge of funding bodies such as NDIS and TAC.
  • Strong interpersonal, verbal, and written communication skills.
  • Ability to work independently while collaborating within a team.
  • Excellent organisational and time management skills.
  • A results-driven, proactive, and positive approach.
  • Solid computer literacy and a willingness to quickly learn new systems.
