The Lynch Group is seeking an experienced
Senior Administrator
to support our Wholesale Team. This is a dynamic, fast-paced role offering variety, responsibility, and the opportunity to make a real impact across multiple functions.
About the Role
As a Senior Administrator, you will take ownership of end-to-end administrative functions, overseeing order management, invoice processing, reporting, and compliance. You will liaise directly with customers, suppliers, warehouse staff, and transport partners to ensure a seamless flow of information and timely delivery of outcomes.
This highly varied role requires hands-on administrative expertise, the ability to identify process improvements, and mentoring of other team members to maintain coverage during absences and peak periods.
Key Responsibilities
Leadership & Oversight
- Take responsibility for the accuracy and timeliness of all administrative processes supporting the Wholesale Team.
- Act as a senior point of contact for escalations from customers, suppliers, and internal stakeholders.
- Provide guidance, mentoring, and support to administration colleagues, fostering a culture of continuous improvement.
General Administration
- Oversee order and invoice processing, ensuring compliance with company standards.
- Prepare reports, summaries, and presentations for management.
- Coordinate stock and logistics with warehouse and transport teams to maintain supply.
- Manage office administration including supplies, visitor coordination, and incoming calls.
Reporting & Data Integrity
- Manage reporting processes including store SOR credits and pallet hire/transfer reconciliations.
- Monitor interstate transfer systems, recommending and implementing process improvements.
- Coordinate IGA orders and support national event and activity planning.
Cross-Training & Process Improvement
- Build knowledge of all administration functions to provide leadership and coverage when required.
- Support procurement processes, including floral and potted product purchase orders.
- Recommend and implement workflow and process enhancements.
About You
- Proven experience in a senior administrative role, ideally within wholesale, FMCG, or logistics environments.
- Strong organisational and time-management skills, with the ability to manage competing priorities.
- Exceptional attention to detail, ensuring accuracy in documentation, reporting, and compliance.
- Strong communication and interpersonal skills, with the ability to manage stakeholder relationships at all levels.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); SAP/FileMaker experience highly regarded.
- Proactive, solution-focused approach with demonstrated problem-solving skills.
- Experience mentoring or supporting junior team members (desirable).
- Exposure to floral and Potted consumer products is ideal but not a deal breaker.
