Events Coordinator - 6 Month Contract

Join Avant Business Solutions as an Events Coordinator and play a key role in delivering impactful sponsored events that engage stakeholders and strengthen our brand across Avant Practice Solutions, Avant Law, and Cgov.
About the Opportunity
This full-time, 6-month contract offers hands-on experience supporting the Events Manager in planning, coordinating, and delivering events that matter to the healthcare and legal professional communities. You'll be at the heart of event logistics, ensuring our sales teams have everything they need to create exceptional experiences for our stakeholders.
 
What You'll Do
 
Event Coordination & Logistics

• Support end-to-end event coordination from planning through to delivery
• Manage event logistics including equipment preparation, materials packing, courier bookings
• Maintain event calendars, equipment inventories, and vendor relationships
• Prepare event briefing packs and promotional materials
• Coordinate webinars and track all event activities
Financial & Administrative Support

• Set up new vendors and process invoices through Exflow
• Track event budgets and identify cost-saving opportunities
• Maintain accurate records across event management systems
Marketing & Brand Alignment

• Work with Marketing to ensure presentations and social posts align with brand guidelines
• Set up Mentimeter polls and interactive event elements
• Audit equipment and materials for brand consistency
• Gather stakeholder feedback and identify improvement opportunities
Stakeholder Engagement

• Communicate regularly with BDMs and stakeholders to meet event deadlines
• Represent Avant Business Solutions professionally in all interactions
• Support the broader Marketing team with administrative tasks as needed
 
What You Bring
 
Essential Experience:

• Background in event coordination and logistics management
• Experience working with cross-functional teams and external vendors
• Strong organizational skills with ability to juggle multiple priorities
• Excellent communication and stakeholder relationship skills
Desirable Background:

• Experience in healthcare, insurance, or professional services sectors
• Exposure to various event formats (webinars, conferences, stakeholder, sponsored/trade events)
• Understanding of compliance and regulatory considerations in event planning
