The Program Coordinator is responsible for supporting the delivery of RACT's advocacy and stakeholder program through the delivery of timely, efficient and effective high-level support, program coordination, meeting and administrative support.  The role will also work closely with and support when needed the EA to the CEO, and the Chief Experience Officer.

Bringing a sound understanding or experience in government processes and stakeholder management the role will support RACT's exciting advocacy program.  Your expectational organisational skills are balanced with your level of insight and willingness to learn and adopt to the evolving nature of the of the program.   Responsible for managing and supporting the steering committee and other external committees.

Key responsibilities of the role include:

  • Serve as the primary point of contact for external stakeholder management and communication activities supporting RACT's advocacy and stakeholder engagement program.
  • In coordination with the Office of the GCEO, develop and maintain RACT's corporate stakeholder engagement register and program.
  • Maintain record management systems ensuring government and stakeholder correspondence is appropriately managed and filed.
  • Monitor and prioritise inquiries and requests, making judgments and recommendations as appropriate.
  • Work with the EA to the GCEO to manage upcoming stakeholder and external commitments, maintaining calendars to support engagement activities.
  • Arrange stakeholder meetings and events, coordinating logistics and preparation requirements.
  • Exercise a high level of confidentiality and discretion when handling sensitive information.
  • Draft stakeholder correspondence on behalf of the GM and GCEO, and review/edit submissions for external stakeholders.
  • Coordinate agendas and take accurate minutes for program steering committees, government relations meetings, and other stakeholder forums, ensuring agendas, presentations, and actions are followed up in a timely manner.
  • Assist in the preparation of high-level presentations for external meetings.
  • Complete a broad variety of administrative tasks to support the advocacy program as needed including managing and support events, engagement activities and providing operational support as required.
  • To support development of submissions and reports as needed.
  • Participate in, lead, and implement special projects as they arise to support business goals.

Successful candidates will have:

  • Ability to exercise a high level of confidentiality, initiative, judgement and discretion.
  • Demonstrated ability to diplomatically and professionally manage and develop external and internal relationships.
  • Exceptional organisational skills with the ability to manage multiple tasks and deadlines and shifting priorities.
  • Exceptional written and verbal communication skills, including the ability to synthesise and information to develop effective public communication and presentations.
  • Proficient in the Microsoft Office suite and other relevant software to create engaging content and reports.
  • Strong attention to detail and commitment in accuracy in all tasks.
  • Ability to work independently and as part of a team, collaborating effectively with the Office of the CEO and wider Member Experience team.
  • Adaptability and flexibility to respond to changing project needs and priorities.
  • A willingness to learn and take on new responsibilities within the portfolio support role.
  • Previous experience working in an administrative capacity for public and stakeholder programs and understanding of stakeholder engagement and government relation processes are highly desirable.
