We are seeking an experienced administrative professional to join our team in Kyneton, Victoria as Senior Administration Lead to support our busy and growing business.

  • Client centered one to one physiotherapy consultations, catering for injury management through to high performance athletes
  • Individualised strength and conditioning in supportive group environments
  • Active, educated, and thorough approaches to injury resolution
  • Clinical Pilates (both modern and classical) to help manage spinal pain, improve function, and promote movement science-led change

The Role

We are looking for an individual with at least 12 months experience in a similar administration role to join our collaborative and thriving multidisciplinary team.

The Senior Administration Lead is responsible for overseeing the day-to-day administrative functions of the business to ensure all administrative systems and processes are effective and responsive to the needs of the business.

The role will commence as a casual role at approximately 16-24 hours/week. It is envisaged this role will transition to a part-time role for the right candidate.

You will:

  • Develop and streamline internal processes to enhance operational efficiency.
  • Oversee appointment scheduling, ensuring efficient use of practitioners time and minimising patient wait times.
  • Implement and manage patient intake processes, including collecting relevant medical history and insurance details.
  • Ensure that patients are informed about clinic policies, appointment reminders, and cancellations.
  • Build and maintain relationships with existing clients, ensuring high satisfaction and fostering patient retention.
  • Manage patient billing, including insurance claims, payments, and invoicing.
  • Liaise with insurance companies to resolve any billing or reimbursement issues.
  • Ensure that clients have a positive experience from the moment they enter the clinic to the completion of their treatment.
  • Oversee the management of clinic software (e.g., scheduling, patient records, billing systems), ensuring all data is accurately maintained and updated.

About You

  • Previous experience in an administrative role is required.
  • Proficient with Microsoft Office Suite and experience with clinic management software (e.g, Cliniko, Clinicient, or similar) is required
  • Previous experience within a healthcare or allied health setting is highly desirable
  • Highly organised with the ability to multitask and prioritise tasks efficiently in a fast-paced environment.
  • Applicants must have current authorisation to work in Australia. Visa sponsorship is not available.
