About Us
At Good Idea Global, we partner with creative toy and merchandise brands to execute orders with precision and excellence, delivering high quality products to our customers and agent network. We're seeking a detail-oriented and proactive coordinator to manage the end-to-end order process from customer/agent request through to fulfilment, liaising across Finance, Logistics and Warehouse teams.
Key Responsibilities
Order Processing
- Process customer and agent orders accurately and in a timely manner.
- Generate proforma invoices including payment links and shipping details.
- Perform order entry and liaise with the Accounts/Finance team for credit approval and payment verification.
- Release orders for fulfilment once payment/credit status is confirmed.
- Knowledge in Pronto systems a plus
Customer & Agent Support
- Respond to customer and agent enquiries via phone and email, including order status, item receipt, backorders and shipping updates.
- Conduct daily check-ins to prioritise urgent accounts.
- Handle invoice queries, corrections and requests for CSV/Excel format invoices.
- Follow up on payment/credit status, assist in account release and manage outstanding account queries.
Collaboration & Communication
- Liaise daily with Finance/Accounts to verify payments, credit approvals and release orders.
- Work closely with Logistics during production/shipment stages and coordinate with the Warehouse team regarding stock levels, incoming shipments and order requirements.
- Act as the communication hub between agents, customers and internal stakeholders to ensure transparency and timely updates.
Reporting & Administration
- Allocate orders for back-orders and monitor fulfilment progress, escalating delays or issues.
- Prepare daily reports such as:
- Daily Order Status report (e.g., orders placed, released, on-backorder).
- Daily Shipping Manifest report (outbound/due shipments).
- Manage customer sample requests (e.g., sample orders shipped from HL).
- Fulfil customer requests for marketing materials (e.g., point-of-sale, print assets).
- Manage item entries in the ERP/management system (e.g., "Pronto" or equivalent) when new shipments arrive.
Selection Criteria / Skills & Experience
- Minimum 2-3 years of experience in order processing, customer service or logistics coordination (ideally in a product/consumer goods environment).
- Strong communication skills (verbal and written) and experience interacting with internal teams (Finance, Logistics, Warehouse) and external customers/agents.
- Excellent attention to detail and accuracy in data entry (orders, invoices, reports).
- Ability to prioritise tasks, manage urgent accounts, adapt to changing demands and work under tight deadlines.
- Familiarity with ERP systems and CRM/order entry systems (experience with systems like "Pronto", "SAP", or similar is a plus).
- Proficiency in Excel, including generating reports and handling CSV/Excel invoice requests.
- Problem-solving mindset: ability to identify bottlenecks (e.g., back-orders, stock shortages) and collaborate to find solutions.
- Customer-focussed attitude and ability to maintain professionalism when handling enquiries, corrections or payment/credit follow-ups.
- Ability to work collaboratively across multiple functional teams with a proactive and positive approach.

Pay: $65,000.00 – $75,000.00 per year
