SWITCHBOARD OPERATOR – Hamilton Island

Switchboard operations are the first point of contact for HIE and are responsible for handling calls efficiently and accurately, and for maintaining all information about various departments on island, records after hours and on-call personnel, and assist with coordinating emergency procedures.

Where you'll make an impact
  • Complete the Communications Daily Task sheet for each shift
  • Ensure information is recorded and passed on to other members of the department through use of the whiteboard, diary and email to maintain a high standard of service for guests, staff and residents
  • Ensure all wakeup calls are accurately recorded and processed
  • Process all guest telephone messages, emails, outgoing mail and faxes promptly and carefully
  • Send concise and accurate information to the appropriate staff via paging system
  • Ensure that guests enquiries are directed to the appropriate department such as activities and entertainment during or prior to their stay, providing information and assistance where necessary, in a friendly and efficient manner
  • Report after hour's maintenance and housekeeping issues to the Duty Manager promptly
  • Record noise complaints and direct them to the appropriate personnel
  • Process and log all I.T. call-outs accurately
  • Maintain an accurate record of on-call staff and report all other after hours problems to the correct personnel promptly
  • Respond to all guest enquiries in a prompt and courteous manner, to achieve maximum guest satisfaction at all times
  • Print relevant daily reports and ensure tasks are completed through the day
  • If necessary, manage any after hours' reservations, using your knowledge of the product to secure each booking
  • Ensure that the Front Office Reception area and surrounds are kept clean and tidy at all times
  • Act as relief for RDM in any night audit duties and after appropriate training undertake complete night audit
  • Team effectiveness – act as a positive influence and work as part of a team
  • Work, Health & Safety (WHS) – follow all HIE WHS policies & procedures
  • Undertake any other tasks as directed by your manager
What we're looking for

You have excellent communication and interpersonal skills with clear and articulate language to be used at all time. You are reliable and flexible in terms of shifts and rosters.

To be successful, you will need
  • Minimum 3-6 months previous experience in a similar role (Essential)
  • Hospitality Experience (Essential)
  • Previous experience handling a busy switchboard (Desirable)
  • Previous experience dealing with emergency calls (Desirable)
  • Knowledge of front office systems and procedures (Desirable)
