About the RoleLumus Imaging are seeking an experienced Clerical Manager to diligently oversee a hard-working team of clerical administrators operating out of St Vincent's Private Hospital on Brisbane's Northside.
As Clerical Manager, your role is to effectively and efficiently maintain a high quality of administrative output by fostering a positive and productive working environment for the broader internal team, and maintaining consistently high standards of customer-service at all times.
This role will suit a proactive and empathetic individual with prior experience managing medical professionals and an innate ability to organise, prioritise, and delegate daily clerical responsibilities whilst ensuring team members are consistently supported and performing as desired.
*Duties & Responsibilities*
- Lead and support the clerical team, overseeing rostering, training, task allocation, and performance management
- Manage hiring and interviewing of new clerical team members, including probationary reviews and terminations
- Oversee day-to-day clinic operations, ensuring smooth workflow, timely patient bookings, and efficient coordination with radiologists, imaging staff, and referrers
- Deliver an exceptional patient experience by managing enquiries, appointments, and paperwork with care, empathy, and accuracy.
- Manage booking systems and call performance, including monitoring phone queues, e-referrals, and appointment conversions to meet KPIs
- Ensure accurate billing and Medicare processes, resolving errors and maintaining financial compliance and efficiency
- Maintain accurate and confidential patient records in line with company standards and compliance requirements
- Handle patient and referrer queries or complaints promptly and professionally, ensuring positive outcomes
- Promote a safe, professional, and supportive work environment, ensuring workplace health and safety policies are upheld
Skills & Experience Required
- You will have prior experience working within a specialist medical environment
- Prior experience as a Team Leader, Manager or transferable position
- Experience working with Sonographers/Radiologists/Medical Imaging environments is highly regarded
- Strong and clear communications skills - ability to effectively communicate with and between team members
- Microsoft Office proficiency is essential
- Ability to actively problem-solve and manage conflicts
- Experience adhering to WH&S requirements, medical legislation and compliance
