About the Role

This is a newly created position designed to support the ongoing growth of our business. As the Investment Administrator/Personal Assistant, you will work closely with the Managing Director and broader team, providing high-level administrative and organisational support.

In this diverse and fast-paced role, you'll be the go-to person for managing calendars, coordinating meetings, preparing documentation, and supporting day-to-day communication with clients and internal stakeholders. You'll help bring structure and efficiency to the team's workflow, while ensuring the Managing Director is supported with their daily priorities and commitments.

This role is ideal for someone who is calm, capable, and thrives in a supportive position. You enjoy building positive relationships with clients, keeping things organised, and helping others stay on track. Key Responsibilities

Client Communication & Coordination

  • Respond to client enquiries via phone, email, and letter professionally and promptly.
  • Coordinate client communications and ensure visibility across ongoing projects.
  • Organise and prepare for client meetings, including documentation and hospitality.
  • Assist with client onboarding and maintain communication logs and investment outcomes.
  • Liaise with clients regarding maturity dates, documentation, and follow-up actions.

Investment Tracking & Documentation

  • Monitor investment maturity dates and coordinate related meetings.
  • Assist in preparing and managing investment-related documentation.

Administrative & Personal Assistant Support

  • Maintain CRM systems with accurate client and investment data.
  • Support day-to-day administration for the investment team.
  • Organise digital filing systems and maintain records across Dropbox and Box.
  • Manage the Managing Director's diary, appointments, and travel bookings (domestic and international).
  • Provide general administrative and ad-hoc support as required.

About You

To be successful in this role, you will have:

  • Exceptional organisational and time management skills, with the ability to juggle multiple priorities.
  • Excellent communication and interpersonal skills, with a client-centric approach.
  • Strong attention to detail and accuracy, especially with documentation and data entry.
  • Proficiency in Microsoft Office Suite, Dropbox, and CRM systems.
  • Discretion, professionalism, and a proactive attitude.
  • Previous experience as a personal assistant is highly desirable.
