About the ACIA Division

The Access, Critical Care, Imaging and Ambulatory Services Division (ACIA) strategically contributes a critical end to end view of the Austin Health patient journey. ACIA drives operational efficiency and performance improvement through an evidenced based approach and methodology to maintain a continuous and holistic view of the patient's journey. The ACIA division provides expert advice to shape future-oriented models of practice and operational design. 

About the role 

This role is central to the Ambulatory Services waitlist audit program. You'll be responsible for contacting patients and GPs to confirm waitlist details, accurately documenting outcomes, and supporting data entry across key systems. You'll also assist with administrative tasks and contribute to workflow testing to help embed better practices in Specialist Clinics.

About you 

You'll be a reliable and detail-oriented team member who enjoys talking with people and capturing accurate information. You'll bring strong communication skills, confidence using hospital systems, and a collaborative approach to supporting continuous improvement in Specialist Clinics.

You'll further bring with you: 

  • Strong verbal communication and customer service skills, with the ability to engage empathetically and professionally with patients, carers, and health professionals
  • Familiarity with clinical administration systems such as TrakCare, SMR or CRM tools (or a demonstrated ability to learn new systems quickly)
  • High attention to detail, with proven ability to accurately enter and update data across multiple systems
  • Problem-solving skills, with the ability to resolve basic issues or escalate appropriately
  • Teamwork and reliability, with a willingness to adapt to shifting priorities and support colleagues
  • Basic administrative skills, including comfort with Microsoft Office (Word, Outlook, Excel) and managing documents, emails, and records
