About the role
We are seeking an experienced Office Administrator to join our dynamic team at CRS Creative Recreation Solutions Pty Limited in Wollongong, NSW. As our Office Administrator, you will play a pivotal role in ensuring the smooth and efficient running of our office operations. This full-time position offers a competitive salary and the opportunity to be part of a growing, innovative company.
What you'll be doing
- Providing administrative support to the management team and other departments as required
- Handling clerical duties including data entry, file management, and document preparation
- Coordinating meetings, events, and travel arrangements
- Managing office supplies and staff amenities / inventory to ensure resources are readily available
- Answering and directing phone enquiries, and greeting and assisting visitors
- Monitoring Outlook emails and distributing enquiries to the appropriate departments (Sales, Procurement, Spare Parts, and Accounts)
- Delivering exceptional customer service to internal and external stakeholders
- Collaborating with the team to identify and implement process improvements
- Create new leads, onboard customers into the CRM system, and maintain accurate records (contacts, sites, notes, and key documents)
- Checking all leads and quotes to ensure contact details are complete and correct prior to processing
- Supporting tender submissions, including collation, formatting, compliance checks, and lodgement to deadlines
- Creating and processing purchase orders for suppliers, including verifying pricing and quantities
- Receipting approved work orders from contractors, ensuring compliance, insurances and warranty details are captured accurately
- Providing project administration support, including maintaining project documentation, assisting with schedules, and coordinating information between internal teams, suppliers, and clients
What we're looking for
- Proven experience as an Office Administrator or in a similar administrative role
- Strong organisational and time management skills, with the ability to prioritise effectively
- Excellent written and verbal communication skills, with a professional demeanour
- Proficiency with Microsoft Office (Word, Excel, PowerPoint)
- Ability to work independently and as part of a team
- High attention to detail and commitment to accuracy
- Flexibility and adaptability to manage changing priorities
- Experience with Xero and SimPRO is an advantage; similar experience with an accounting package and CRM system will also be considered
- Experience supporting tender submissions and/or proposal compilation (highly regarded)
- Project administration experience (highly regarded)
