Position Overview:

We are seeking a reliable and detail oriented Receptionist/Secretary to join our automotive body repair team. This role is essential in supporting the daily operations of the shop, managing front desk responsibilities, receiving/processing insurance claims, assisting with basic book keeping and ensuring timely payments are made. The ideal candidate will be proactive, organised and comfortable working in a fast paced customer-focused environment.

Key Responsibilities:

Front Desk & Customer Service

  • Greet customers and visitors in a professional and friendly manner
  • Answer and direct incoming phone calls and handle general inquiries
  • Schedule customer appointments and manage the shop calendar
  • Follow up with customers regarding repair status paperwork and payments

Insurance claim coordination

  • Monitor various insurance company portals/systems for incoming claims.
  • Review, Track, and update claim statuses regularly
  • Communicate with insurance companies to update on claim status.
  • Assist with documentation and uploading required claim related files.

Administrative & Clerical Support

  • Create and maintain accurate customer and vehicle files
  • Handle incoming mail, email correspondence and shop communications
  • Support estimators and technicians with any administrative needs

Book Keeping & Financial Admin

Assist with basic bookkeeping tasks such as date entry of invoices, receipts and expenses.

  • Reconcile Payments and prepare summaries for management review
  • Process online payments according to payment agreements.
  • Ensure timely billing and help follow up on outstanding customer payments.

Qualifications

  • Previous experience as a receptionist/secretary or administrative assistant.
  • Bookkeeping experience required, Familiarity with accounting software
  • Comfortable making online payments from business accounts
  • Excellent communication and customer service skills
  • Proficiency in Microsoft office
  • Ability to learn Body Shop Management System and insurance claim systems quickly
  • A good understanding of technology.
