About the Opportunity
Are you a highly experienced professional with exceptional diplomatic judgment and a proven history of strategically supporting executive leadership? We are seeking a highly motivated and polished Executive Assistant to the CEO to join our corporate team at Primary Health Tasmania.
This full-time role reports directly to the CEO and requires outstanding skills in strategic communication, negotiation, and gatekeeping across diverse stakeholder groups, including government, the Board, and internal personnel.
What You Would Be Doing
As the Executive Assistant, you will provide high-level administrative support, but critically, you will be the trusted diplomatic gatekeeper and key connector for the CEO's office, ensuring the smooth and strategic operation of executive functions.
Here's a glimpse of the strategic impact of your day:
- Strategic Calendar Management: Proactively manage and coordinate the CEO's complex calendar, employing advanced negotiation skills to prioritise competing inquiries, manage time conflicts, and ensure alignment with organisational goals.
- High-Level Diplomacy and Correspondence: Serve as the primary point of liaison, effectively negotiating access, managing expectations, and maintaining confidentiality with all stakeholders, including the Board, senior government contacts, and the Executive Team. Draft and manage sensitive correspondence with precision and diplomatic judgment on the CEO's behalf.
- Executive Meeting Facilitation: Strategically manage meeting preparation by preparing agendas, collating, and distributing papers for the Board and Executive Team. Track and follow up on actions with key personnel to ensure accountability and timely resolution.
- Stakeholder Relationship Management: Act as a referral point for complex queries, using judgment to liaise and support effective communication between the CEO and various internal and external parties.
- General Administration: Coordinate complex travel arrangements for the CEO and handle general administrative duties, all while exercising the utmost discretion and confidentiality.

You will have proven experience in a similar position and possess the following executive-level skills that will set you up for success:
- Advanced Diplomatic Communication and Negotiation: Demonstrated ability to influence outcomes, manage expectations, and negotiate scheduling and priorities across all levels of internal and external governance and stakeholder groups, including government and the Board.
- Executive Presence and Discretion: Possess an unflappable executive presence and absolute proficiency in handling sensitive and confidential information, displaying impeccable discretion and confidentiality at all times.
- Strategic Priority Management: Exceptional ability to anticipate and manage a complex workload, prioritising the CEO's time, resources, and deadlines with high-level attention to detail.
- Proactive Judgment and Resourcefulness: A highly proactive professional capable of anticipating needs and exercising diplomatic judgment to resolve complex problems independently and creatively before escalation.
