With 126 years of history, Royal Freshwater Bay Yacht Club is one of Australia's premier yachting and boating centres, renowned for its stunning waterfront location and vibrant social and competitive boating calendar. The role of Function Manager requires a talented and motivated person to join our hospitality team. This role will be integral to delivering inspiring and truly memorable weddings, functions, and events for our members and clients.
Position Title: Function Manager
Reports to: Venue Manager/CEO
Employment Type: Full-time, Fixed Position
Position Overview
The Function Manager will be responsible for the execution of weddings, corporate functions, member events, and private celebrations. This role requires a hands-on, creative approach to ensure events are delivered seamlessly, exceed expectations, and reflect the prestige of RFBYC.
Key Responsibilities
- Leading a team of staff to deliver outstanding customer service.
- Train, mentor, and support both current and new staff to ensure consistent service quality and operational excellence. Oversee event setup, service, and pack down, ensuring all operational details are met.
- Liaise with members, clients, suppliers, and internal departments to ensure smooth event operations.
- Apply creative and practical solutions to enhance the event experience.
- Maintain exceptional attention to detail while managing multiple events concurrently.
- Build and nurture strong relationships with Club members and clients.
- Work closely with the hospitality team to create cohesive, high-quality events that reflect the Club's brand and traditions.
- Collaborate with the event sales team to develop detailed Banquet Event Orders (BEOs) for each function, ensuring accurate information is distributed to all relevant departments in a timely manner.
- Update and amend BEOs as needed to reflect changes in event requirements.
- Ensure full compliance with Club By-laws and policies, and lead by example to ensure all team members under your supervision uphold these standards.
- While this role is primarily focused on functions, during quieter periods you may be required to assist in the restaurant or Members' Bar.
- Excellent delegation skills with the ability to oversee multiple departments simultaneously.
- Ability to foster a positive, collaborative, and respectful workplace culture.
- Assist in rostering, staff scheduling, and ensuring adequate coverage for events and peak times.
- Ability to oversee maintenance, cleanliness, and presentation of all venue spaces to uphold Club standards.
- Understanding of liquor licensing laws, food safety regulations, and other hospitality compliance standards.
- Expertise in daily venue operations, including bar, dining, and function services.
- Ability to analyse and interpret financial reports to inform operational decisions.
- Ability to respond promptly and professionally to feedback, complaints, and special requests.
- Maintain accurate records of all stock movements during events, including thorough POS reconciliation
- Collaborate effectively and maintain strong working relationships with other line managers to ensure seamless operations.
Essential Skills and Experience
- Proven experience in event planning and coordination, preferably in a hospitality or member-based environment.
- Strong organisational skills with the ability to prioritise tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels.
- Computer literacy and administrative skills.
- Ability to work independently and collaboratively as part of a team.
- Flexible availability, including evenings and weekends, as required.
