Position Overview

  • Position Status: Office Manager
  • Reporting To: Director/Owner
  • Liaise With: Office staff, trades team, clients, suppliers, and sales team
  • Expected Hours: 8:00am–4:00pm Monday to Thursday & 8:00am-3:00pm Friday (enjoy work-life balance with early finishes)
  • Pay/Rate: Negotiable based on experience and capability

Role Summary

This role is ideal for someone who thrives on variety and loves being the person others can rely on. You'll handle everything from payroll and invoicing to scheduling service jobs and supporting the team. You'll be the "go-to organiser" who makes sure the office runs efficiently and the business continues to deliver great service to our clients.


Responsibilities

  1. Finance – Accounts Payable & Receivable

  2. Process supplier invoices, reconcile accounts, and ensure timely payments

  3. Generate customer invoices, follow up outstanding payments, and maintain records
  4. Reception & Customer Service

  5. Greet visitors and provide a welcoming first impression

  6. Handle incoming calls, emails, and enquiries professionally
  7. Sales & Job Support

  8. Assist the sales team with quotes, proposals, and contracts

  9. Update customer databases and sales records
  10. Payroll & HR Support

  11. Accurately process employee payroll in collaboration with finance/HR

  12. Maintain employee records (contracts, training, performance reviews)
  13. Support recruitment, onboarding, and staff engagement activities
  14. Scheduling & Operations

  15. Manage bookings for automatic gate servicing and coordinate with technicians

  16. Monitor inventory levels, place orders, and track deliveries
  17. Conduct periodic stock checks to maintain accuracy
  18. Office Administration

  19. Oversee general office operations, filing, and record-keeping

  20. Ensure compliance with company policies and relevant legislation
  21. Support directors with ad-hoc tasks as required

Key Performance Indicators (KPIs)

  1. Invoices – 100% of supplier invoices processed and customer invoices issued within 48 hours
  2. Payroll – Payroll completed accurately and on time each pay cycle
  3. Customer Service – 95% of calls/emails responded to within the same business day
  4. Inventory Accuracy – Less than 2% stock discrepancy on periodic checks
