Are you a natural organiser who enjoys building great client relationships? We're seeking a proactive and hands-on Client Services & Scheduling Coordinator to oversee daily job scheduling, coordinate with building inspection subcontractors and clients, and follow up on warm sales leads.

Our client is a highly reputable company who provides independent residential and commercial building inspections across all NSW, helping clients make informed property decisions with confidence.

This role combines strong administrative coordination with a people-first approach - ensuring smooth operations, timely service delivery, and great communication at every stage. You'll be the key link between the operations team and our valued clients, managing schedules, updating systems, and converting incoming leads into booked work.

Key Responsibilities:


• Be the first point of contact for new and existing clients, including real estate agents, solicitors and homeowners


• Coordinate daily schedules and bookings for building inspectors


• Communicate clearly with clients regarding appointment times, preparation, and next steps


• Manage inbound enquiries and follow up warm sales leads


• Prepare and send quotes, invoices, and inspection reports


• Track KPIs and support continuous improvement in client satisfaction and efficiency


• Liaise closely with management to ensure seamless workflow

·       Office Management- General administrative duties

·       Social Media Management

What You'll Bring:


• Experience in administration, scheduling, or client services (construction / trade / inspection background ideal but not essential. )


• Excellent client relations and demonstrate professionalism on all levels.


• Strong communication and problem-solving skills


• Client Sales experience ideal not essential- (training can be provided)


• Excellent attention to detail and ability to multitask


• Confidence engaging with clients and converting warm leads


• Proactive, reliable, and committed to great service


• Service Mate software experience necessary but not essential


• MS Office - Intermediate
