Job Summary:

We are looking for a proactive, creative, and detail-oriented Marketing Coordinator to join our Marketing Department.

This role is ideal for someone who thrives in a dynamic environment and enjoys bringing ideas to life through effective implementation. Working closely with the Chief Marketing Officer (CMO), the Marketing Coordinator will be responsible for coordinating and executing marketing initiatives that strengthen the WiSE brand, promote existing and new services, new practice launches, and engage patients and healthcare professionals across multiple platforms. The position will be responsible for coordinating the marketing activities for WiSE Medical, WiSE Plus, WiSE Pathology, WiSE Physiotherapy, and WiSE Specialist Hub.

Key Responsibilities:

Campaign Coordination

  • Implement marketing campaigns as directed by the CMO, including service and practice launch campaigns.
  • Coordinate campaign assets including copy, graphics, video, and email sequences to ensure timely rollout.
  • Manage podcast release implementation: upload, scheduling, metadata, and promotional materials.
  • Manage webinar funnels in Kajabi including registration pages, thank-you pages, and follow-up automations.
  • Liaise with Virtual Assistants (VAs) to delegate tasks and ensure brand consistency across all content.

Events Coordination

  • Coordinate marketing requirements for WiSE-hosted events, including GP education sessions, webinars, community engagement activities, and conferences.
  • Manage event logistics such as venue bookings, catering, collateral, and audiovisual requirements.
  • Liaise with presenters, suppliers, and internal teams to ensure smooth event delivery.
  • Oversee event promotion across digital channels, including social media, email campaigns, and internal communications.
  • Support onsite event setup and provide marketing presence during key events.

Digital Marketing & Content Implementation

  • Create and send email marketing campaigns via Kajabi.
  • Manage and segment email databases to ensure accurate targeting and data integrity.
  • Respond to comments, messages, and enquiries on Facebook and social media pages, following WiSE communication guidelines.
  • Assist with content creation gathering stories, filming opportunities, and coordinating with site-based content contributors.

Design & Branding

  • Create on-brand marketing materials using Canva, including brochures, flyers, social media graphics, presentations and digital assets.
  • Liaise with signage suppliers to manage production and installation of clinic signage and displays.
  • Ensure all visual content and materials align with WiSE brand guidelines and AHPRA and Patient Privacy compliance requirements.

Coordination & Administration

  • Collaborate with the CMO and operational team members on the implementation of launch plans for new practice openings.
  • Manage relationships with external suppliers, printers, and contractors.
  • Maintain and update Kajabi databases, ensuring appropriate segmentation and tagging of contacts

Skills & Experience

  • 2–4 years' experience in marketing coordination, events, or campaign implementation.
  • Proficiency with Canva, Powerpoint, Microsoft Office
  • Willingness to learn Kajabi, Wordpress, Descript, Capcut and other digital programs
  • Strong project management and organisational skills.
  • Excellent written and verbal communication skills.
  • Ability to coordinate multiple projects and meet tight deadlines.
  • Experience in healthcare, wellness, or professional services (advantageous but not essential).
