About the Role

This position is based in the Facilities Branch but will also support the Director of the SAMS Branch.

As a Project Support Officer, you will provide administrative support to ensure the smooth operation of the Branches. Your responsibilities will include record-keeping, managing internal and external communications and maintaining office equipment and supplies.

This role requires someone with a keen eye for detail who can thrive in a flexible, high-performing division within the VSBA. You will offer high-level executive and administrative support to ensure the efficient management of day-to-day operations for one or more Executive Officers at the VSBA.

Key duties will include managing diaries, emails, and meetings, preparing written communications, supporting HR processes, processing invoices and payments, and assisting with various projects. You will be responsible for ensuring time-critical tasks are completed, maintaining accurate and accessible records, and offering support to other teams within the division.

Attributes

The ideal candidate will have a proven track record in providing administrative support to senior executives, with excellent communication and organisational skills. They will be resourceful, able to collaborate effectively with team members, and contribute to a positive work environment. Strong attention to detail and managing multiple responsibilities are essential for successful task completion.

Desirable Qualifications and Experience

  • Essential : Experience in providing administrative and support to senior executives
  • Desirable : Government experience in a similar role.

Flexible Work Expectations:

For full-time employees, the department expects 3 days per week in the office, in line with the VPS Agreement 2024. This role follows those same operational requirements: 3 in-office days, 2 remote (if full-time).

About the Victorian School Building Authority

The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s.

The VSBA upgrades and expands existing schools and plans, designs and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants.

With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early childhood sector on a massive kindergarten construction program.

About the Division

Asset Management Division

The Asset Management Division is responsible for setting VSBA's strategic asset direction, developing and implementing programs that address accessibility, inclusion and accommodation initiatives, and building school capability and capacity to manage assets.

The Facilities Branch is responsible for the delivery and contract management of Essential Safety Measures, Response, School Cleaning and Public Private Partnerships programs for all Victorian government schools, kinders and early learning centres. In addition they provide support for schools within the programs.

The Schools Asset Management Support (SAMS) Branch provides statewide leadership, advice and operational support to help Victorian government schools effectively manage their physical assets. SAMS delivers key programs and systems that strengthen the Department's asset management capability, including the Asset Information Management System (AIMS), the Small Schools Program (SSP) and Asset Leadership Support (ALS).
