About the role

We are seeking an experienced and highly organized Executive Support Officer to provide dedicated assistance to our Chief Operating Officer (COO) and Chief Financial Officer (CFO). This pivotal role involves executive coordination, managing project management, and financial administration functions for these key members of the Executive Leadership Team (ELT). As a trusted partner, you will connect staff, projects, and critical business information, ensuring meetings and materials are efficient, effective, and aligned with the company's values and strategic priorities. In this role, you will be responsible for producing sophisticated business reports by conducting research and analysing data to support the Executive Leadership Team.

You will manage end-to-end project delivery for initiatives led by the COO and CFO, including scheduling, monitoring, reporting, board reporting, and maintaining associated project documentation. Your ability interpret complex information will be vital in providing insightful support at the highest level. Working collaboratively as part of a community of practice alongside other Executive Assistants, you will contribute to the development and consistent application of frameworks and processes that promote effective communication and teamwork across the organization. This includes overseeing office administration processes and systems to optimize the day-to-day planning and diary management for the Executive Leadership Team.
A six-month probationary period applies to this role.

About you

You are a highly organised, self-motivated and results oriented professional with the ability to autonomously plan, implement and report on deliverables. You have a demonstrated high level of organisation capability, including the ability to establish and maintain effective systems, procedures and processes and manage competing demands and deadlines without compromising on quality. You have exceptional verbal and written communication and editorial skills with the demonstrated ability to establish and maintain mutually beneficial relationships and partnerships with people at all levels. You have advanced computer skills and substantial experience in utilising a broad range of systems and software. You have outstanding project management skills along with the ability to negotiate complex issues and manage change effectively. You have the ability to think strategically, contribute effectively to strategic planning processes and operationalise strategy.

Qualifications and experience

  • A relevant degree qualification in business, analytics or project management, or the equivalent combination of qualifications and experience
  • Demonstrated expertise and extensive experience in providing high level executive support
  • Experience in quality document creation and preparation of high-level reports
  • Experience in quality document creation and preparation including business plans, letters, high quality management reports and board reports

Mandatory requirements

  • Current Victorian Working with Children Clearance
  • Current Police Check (not older than 12 months old)
  • Current Driver's Licence (travel between campuses is a requirement of the role)
