The Role --Immediate Start
We are looking for an experienced Operations & Service Coordinator to join our Dandenong team to start immediately. You will be the hub of our logistics operations and field service, coordinating service jobs, supporting customers, managing stock control and arranging equipment transport. This is a hands-on, detail-oriented role that requires excellent English communication and a positive, can-do attitude. The role is full-time and office-based in Dandenong, Victoria with occasional warehouse activity.
Key Responsibilities
- Act as a primary customer contact for operational and service enquiries: answer calls and emails, provide job updates and ensure high levels of customer satisfaction.
- Coordinate forklift deliveries, pickups and transport logistics, liaising with drivers, carriers and customers.
- Manage inventory: track stock levels, perform stocktakes and initiate stock reorders to prevent shortages.
- Schedule and dispatch service technicians, creating and updating work orders in Mechanic's Desk and communicating job details to technicians and customers.
- Maintain accurate customer and job records in Zoho CRM and update Shopify stock where needed.
- Produce regular reports on operations activity, inventory and technician performance.
Requirements
- Positive, proactive can-do attitude and a team-player approach.
- Excellent written and verbal English communication skills.
- Minimum 3 years experience in operations, service coordination, workshop administration or logistics. Experience in material handling or workshop environments is highly regarded.
- Strong organisational skills with attention to detail and the ability to prioritise competing tasks.
- Comfortable with computer systems and software. Experience with Mechanic's Desk, Zoho CRM or Shopify is a plus.
- Valid driver's licence required. Forklift licence is desirable.
- Diploma in Operations, Logistics or similar qualifications are advantageous.
- Able to work in a warehouse/showroom environment and occasionally assist with loading or moving equipment (lifting up to ~20 kg).
