About the Role:
We're looking for a full-time
Invoicing & Administration Officer
to join our growing team. This role is perfect for a detail orientated person who loves
crossing t's, dotting i's
, and
keeping the wheels turning
behind the scenes — all while working with a great bunch of people.
Your core responsibilities will include:
- Preparing and issuing accurate invoices
based on completed jobs. - Creating and sending small quotes
, using pre-built templated pricing. - Following up on outstanding quotes
and communicating with clients where needed. We have standard processes and scripts to make this simple. - Managing supplier returns
and coordinating credit claims. - Assisting with warehouse and technician vehicle inventory
(stock levels, tools, materials). - Uniform purchases.
What We're Looking For:
- Minimum 2 years' experience
in a similar role. - Previous experience
in
invoicing
and
admin
roles (preferably in the
electrical/HVAC trade or construction industries
). - Familiarity with job management software
like
simPRO
(
bonus points
if you've used it before). - Great time management
and ability to prioritise tasks. - Clear, friendly, confident, and calm
– on the phone, over email, and under pressure - A
proactive, can-do attitude
- think 'glass half full' - Someone who thrives in a
young, fast-paced, and high-performance team. - High attention to detail –

self-starter
who takes
ownership and pride
in their work. - Great communicator
(written and verbal) with clients, tradies, and suppliers. - Tech savvy
and can pick up systems fast (we use SimPro, Xero, Google Workspace to name a few) - And most importantly

Bonus Points If You Have:
- Prior experience in the electrical, HVAC, or trade service space.
- Experience with supplier processes, fleet/vehicle management, or warehouse operations.
