Providing administrative and procurement support during the tender and pre-contract phase of projects, your duties will include:

  • Establishing and maintaining tender filing structures, both digital and hard copy, ensuring document version control and consistency across all tenders;
  • Coordinating and managing document control for pre-contract activities, including Requests for Information (RFIs), tender addenda, and clarification registers;
  • Assisting in preparing, issuing, and tracking tender correspondence, subcontractor and supplier packages, and procurement documentation;
  • Supporting the compilation of tender submissions, including formatting, proofing, and assembling commercial and technical documents;
  • Liaising with estimators, engineers, and procurement staff to gather, collate, and record supplier quotations and pricing data;
  • Ensuring compliance with company templates, naming conventions, and document control standards across all pre-contract activities;
  • Maintaining confidentiality of commercial information and ensure appropriate access control to tender documentation;
  • Supporting tender close-out activities including version finalisation, archiving, and data capture for future reference and benchmarking;
  • Assisting in handover from pre-contracts to delivery teams, ensuring documentation and registers are complete and accurate.

About you

Either way, to join our talented team, you will need the following:

  • Exceptional attention to detail;
  • Be able to prioritise and manage multiple tasks;
  • Thrive working under pressure, and to strict deadlines;
  • Have skills and competence in Microsoft Word, Excel, PowerPoint and Teams;
  • Strong communication (written and verbal), and interpersonal skills;
  • Experience of software and tools such as Visio / InDesign / Canva / would be highly beneficial;
  • Previous work experience within the construction industry (highly regarded but not critical).
