The Role

We are looking for a vibrant, passionate and dedicated "Maintenance Contracts Coordinator" to join our team. This role involves managing contract renewals, costings, and project setups in WorkflowMax. You will build strong relationships with the maintenance team and provide essential administrative support.

The ideal candidate will be versatile, with administration, computer, and estimating skills. Horticultural knowledge is a plus, as you will gain a deep understanding of our unique green infrastructure products. You must be able to work both independently and as part of a team.

  • Work Schedule: 5 days per week - The opportunity to work four days a week when appropriate.
  • Location: Fytogreen Head Office in Somerville.
  • Skills Required: Strong organisational skills and data accuracy, ability to work in a team, exposure to estimating, client management, general administration skills, experience with the Microsoft Office Suite (Word, Excel, Outlook).
Qualifications & Experience
  • Experience in a contracts coordination role is advantageous.
  • Proficient in computer skills, with strong Excel and Word proficiency.
  • Exposure to accounting systems and estimating is an advantage.
  • Experience with Workflow Max and InterAct is beneficial but not essential.
  • Horticultural knowledge is beneficial but not essential.
  • Superior analytical, oral, and written communication skills.
  • Excellent organisational skills.
Tasks & Responsibilities
  • Oversee the Preventive Programmed Maintenance portfolio, including renewal of contracts and costings.
  • Prepare new maintenance contracts.
  • Build strong relationships with the maintenance team and provide administrative support as needed.
  • Manage client relationships.
  • Handle national mobile phone communications as the first point of contact.
  • Set up jobs in WorkflowMax, add tasks, and budget hours.
  • Handle monthly billings and do and charge invoices.
  • Ensure compliance reporting is up to date.
  • Provide administration support to the maintenance team as required.
