The Opportunity
We are seeking a highly capable and proactive Executive Assistant to join our Brisbane-based head office and provide critical support to the Senior Management Team. This role is central to ensuring the smooth running of company operations across a diverse group of businesses.
Working closely with the CFO, Business Manager, and Managing Director, you'll play a trusted role at the heart of the business, managing priorities, communications, and workflow with skill and discretion. If you thrive in a fast-paced environment and enjoy balancing high-level executive support with hands-on organisational tasks, this is the role for you. You will manage complex calendars, high-level communications and leadership meetings, while also owning the day-to-day office operations that keep our team running smoothly. From events to travel to office suppliers and facilities, you'll be across it all.
About the Role
As the Executive Assistant, you will act as the right hand to senior leadership, ensuring priorities are executed effectively, meetings and deadlines are seamlessly coordinated, and information flows smoothly across the management team. The role demands a high level of discretion, organisation, critical thinking skills, situational awareness, and resilience to efficiently manage a variety of responsibilities, including:
• Managing the senior management team's calendar, including scheduling appointments and meetings;
• Monitoring correspondence to identify competing priorities;
• Monitoring current and future commitments and workflow for the senior management team;
• Using initiative and judgment to liaise effectively with a range of stakeholders;
• Managing travel arrangements, including itineraries, in compliance with company policies;
• Coordinating various HR processes, such as annual performance discussions/reviews.
• Preparing and drafting documents and reports;
• Organising and assisting with special projects and events; and,
• Performing general administrative tasks to ensure smooth daily operations.
• Creating and maintaining efficient systems, checklists, and procedures to support daily operations
• Ensuring the office environment reflects a professional, well-organised, and collaborative culture
About You
We're looking for someone who is both highly professional and adaptable—a self-starter who enjoys working closely with senior leaders while also rolling up their sleeves to keep things running behind the scenes.
You will bring:
• Proven experience as an Executive Assistant, PA, or have held a senior support role
• A proactive, solutions-focused mindset and the ability to anticipate needs before they arise
• Exceptional organisational and time-management skills, able to balance multiple priorities and deadlines
• Adaptability and the ability to work in a high paced environment
• Strong written and verbal communication skills, with the ability to draft clear and professional documents
• High level of discretion, judgment, and professionalism when dealing with sensitive matters
• Proficiency in MS Office, MS 365, and business systems, with the ability to adapt quickly to new technology
• IT-savvy, with the ability to troubleshoot and resolve basic issues (e.g., internet connectivity)
• Resilience, adaptability, and confidence working closely with executives and stakeholders
