About the role

The Operations and Accounts Administrator support the smooth running of day-to-day business operations through efficient administrative coordination and accurate financial processing. The role provides essential support across operations, finance, and general administration, ensuring that internal workflows are organised, records are maintained accurately, and stakeholders receive timely assistance. This position contributes to operational efficiency, compliance, and continuous improvement across the organisation.

Key Responsibilities:

Operations

  • Coordinate the end-to-end onboarding process for all new hires (employees and consultants), including preparing employment offers, managing pre-employment checks, and ensuring all systems, access, and equipment are fully provisioned for Day 1.
  • Coordinate the full offboarding lifecycle, including deactivation of access, equipment recovery, and adherence to internal controls.
  • Assess and track contract extensions, maintaining accurate engagement and resource records across the organisation.
  • Oversee BAU operational activities such as stationery procurement, Building Manager liaison, and coordination with IT support services.
  • Administer core people process including probation reviews, salary adjustments, and promotion cycles, ensuring timely communication and completion.
  • Maintain business-wide resourcing and operational reporting to support leadership decision-making.
  • Manage new starter technology and access setup, including Office 365 accounts, desktop configuration, security software deployment, printer configuration, and email signature setup: issue security access cards for all new staff.
  • Maintain the organization's assets and tool registry, including allocation, tracking, and lifecycle management of hardware (laptops, mobiles, desktops).
  • Ensure organizational filing systems are accurate, current, and compliant with document management standards.
  • Establish and monitor effective record-keeping procedures, ensuring data integrity, confidentiality, and compliance with organizational policies.
  • Promote and uphold workplace health and safety requirements, ensuring a safe and compliant work environment.

Accounts / Finance Support

  • Monitor and follow up weekly timesheet submissions to ensure accuracy, completeness, and timely payroll processing.
  • Prepare and maintain company credit card reconciliation records, ensuring all expenditure is accurately captured and supported by documentation.
  • Process invoices, purchase orders, and employee expense claims in line with financial policies and required timeframes.
  • Conduct supplier payment runs and end-of-month payroll processing, ensuring all payments are verified, authorised, and compliant with internal controls.

Experience & Skills:

Experience:

  • General Operational experience (i.e. monthly stationary orders, Building Manager liaison, IT support liaison etc.) servicing the consulting, services, or technology industry.
  • Administrative experience in processing employment agreements, contract extensions, on-boarding and induction
  • Strong understanding of accounts payable/receivable and payroll processes
  • Proficient in excel and accounting/ERP systems (e.g. Xero, Jobadder, Astute or similar)

Skills:

  • Excellent written and verbal communication skills with a demonstrated ability to manageand communicate up and acrossto secure buy-in and deliver solutions.
  • Excellent people skills. Ability to communicate with clients, management, team members and peers.
  • Committed to continuous improvement and delivering excellence in customer service.
  • Works collaboratively with key stakeholders (both internal and external) to deliver effective and successful outcomes.
