About the Role

We are seeking an experienced and proactive Administration Officer to take ownership of all administrative and operational processes within our organisation. This role is ideal for someone who is confident working independently, highly organised, and enjoys managing multiple responsibilities within a small but growing team.

You will play a key role in ensuring the smooth day-to-day operation of the business — from managing client enquiries and scheduling to overseeing documentation, invoicing, and advertising coordination.

Key Responsibilities
  • Manage incoming phone calls and emails with professionalism and efficiency
  • Coordinate client bookings, cancellations, and reminders
  • Oversee client onboarding and enrolment, including document collection and compliance checks
  • Review, organise, and maintain client and staff records
  • Prepare and format reports, letters, and forms as required
  • Manage company advertising and job listings on platforms such as SEEK, Indeed, and other recruitment websites
  • Liaise with clients, staff, and external providers to support efficient service delivery
  • Support billing, invoicing, and data entry processes as needed
  • Contribute to improving administrative systems and workflows
Essential Skills and Experience
  • Proven experience in administration, office management, or a similar role
  • Excellent written and verbal communication skills
  • Strong organisational and time management skills, with attention to detail
  • Ability to work autonomously and manage competing priorities
  • Confident using Microsoft Office, Google Workspace, and online management systems
  • Professional, reliable, and customer-focused attitude
Desirable
  • Experience in an allied health, NDIS, or behavioural support setting
  • Familiarity with client management systems (e.g., Echidna, or similar)
  • Understanding of NDIS processes and documentation
  • Experience managing company advertising platforms, including website listings, social media, and job boards
