Job description

We have an exciting opportunity for an Immigration Paralegal to join our team in Brunswick East, Victoria.

This position is ideal for a motivated paralegal with at minimum of one year of experience in immigration law who is eager to contribute to a busy and growing practice.

About this role:

  • Document Collection and File Management – Collect, organise, and manage confidential client documentation, ensuring accurate and comprehensive filing systems are maintained.
  • Migration Manager Software Proficiency – Manage client profiles, upload documents accurately, and maintain organised electronic files within the system.
  • Post-Lodgement Follow-Up – Monitor and follow up on post-lodgement requirements such as police checks, health examinations, and other supporting documents.
  • Application Progress Management – Create and maintain detailed tracking spreadsheets, monitor visa applications at every processing stage, and provide clients with timely and accurate status updates.
  • Reporting – Prepare and deliver regular and ad hoc status reports to management and migration agents/lawyers to support case progress and decision-making.
  • Form and Document Preparation – Draft, prepare, and review immigration forms and supporting documentation for visa applications and skills assessments to ensure accuracy and compliance.
  • Agreements – Assist in preparing and finalising client Service Agreements and related documentation.
  • Client Support and Communication – Deliver excellent customer service by handling routine procedural enquiries professionally and maintaining clear, proactive communication with clients.
  • Administrative Excellence – Maintain immigration templates, manage critical deadlines, and ensure all documentation and processes meet compliance and quality standards.

The Ideal Candidate

  • Minimum of 1 year's experience in immigration law.
  • Strong attention to detail, with the ability to identify document discrepancies and ensure a high level of accuracy.
  • Highly organised, with excellent time management and prioritisation skills to manage competing deadlines effectively.
  • Proficient in spreadsheet use for tracking and data management.
  • Experience using Migration Manager software.
  • Excellent customer service skills, with strong written and verbal communication abilities.
  • Ability to handle confidential and sensitive information with a high degree of discretion and professionalism.
  • Proactive problem-solving skills and the ability to adapt quickly to new systems and processes.
  • Must be an Australian citizen or permanent resident.
